For an international wealth management and investment firm located in Geneva, we are seeking a :

PERSONAL ASSISTANT & OFFICE MANAGER

Key responsabilities

  • Schedule Management : Coordinate the Managing Director’s calendar, including in-person and video conference appointments, ensuring that all appointments are efficiently scheduled across multiple time zones.
  • Travel Arrangements : Organize all aspects of international travel, including flights, accommodations, and ground transportation.
  • Accounting and Banking Reconciliation : Handle financial tasks, including reconciling accounts and managing office expenses.
  • Real Estate Asset Monitoring : Track the performance of international commercial real estate investments, utilizing advanced Excel skills to analyze data and generate reports.
  • Third-Party Follow-ups : Manage communications and follow up on reminders from external parties such as lawyers, consultants, and other service providers.
  • Office Management : Oversee general office operations, including managing supplies, organizing meeting rooms, and ensuring the smooth running of the office environment.
  • Administrative Support : Provide additional support with bookkeeping tasks, managing petty cash, and maintaining filing systems. Additionally, ensure compliance with office policies and timely submission of documents for client review.

Required profile

  • Previous experience as a Personal Assistant, preferably in finance or international organizations.
  • University degree or equivalent.
  • Proficiency in English is essential; knowledge of French and Italian is a plus.
  • Dependability, strong work ethic, and exceptional attention to detail.
  • Excellent communication and writing skills.
  • Ability to work autonomously, prioritize tasks, and manage time efficiently.
  • Problem-solving mindset with a focus on practical solutions.
  • Intellectual curiosity and an open-minded approach.
  • Advanced IT skills, including proficiency in Word, Excel, PowerPoint, Outlook, and a solid experience in using conference tools such as Zoom and Microsoft Teams.
