This role is a high-exposure, hybrid position that combines executive assistant duties with project coordination responsibilities. It sits at the intersection of strategic execution and operational excellence, supporting both the CSSO, who leads strategic growth projects and sustainability, and the CPO, who drives people's strategy and organizational development.

You will be responsible for ensuring seamless operations, proactively coordinating workflows, and supporting selected strategic initiatives, particularly on the CSSO side, where project oversight and stakeholder coordination are required. The role requires digital fluency, discretion, anticipation, and strong communication skills. Exposure to the CEO and Board, as well as collaboration with senior leaders, is inherent in this trusted, high-impact position.

Your responsibilities

Executive Support (Core responsibilities for both CSSO and CPO)

  • Proactively manage calendars, travel, and inboxes for both CSSO and CPO, with a approx. 60/40 workload weighting (CSSO/CPO).
  • Coordinate and prepare internal and external meetings, including with CEO, Board members, and external partners.
  • Prepare professional-grade PowerPoint presentations, briefing notes, and follow-ups for Executive Management and Board-level audiences.
  • Handle confidential information and sensitive matters with the utmost discretion.
  • Serve as liaison with the CEO Office and other key functions to ensure effective coordination.

Strategic Project Coordination (primarily CSSO)

  • Support and track strategic initiatives, acting as a first line of coordination and follow-up.
  • Drive efficiency in CSSO workflows by anticipating needs, managing timelines, and aligning stakeholders.
  • Own logistical preparation and documentation for strategy, board, and leadership meetings.
  • Contribute to research, data preparation, and draft synthesis to support project-related decision-making.
  • Maintain and continuously update the CSSO intranet page to ensure content is current, relevant, and aligned with strategic priorities.

Digital Tools & Innovation

  • Confidently navigate Microsoft 365; experience with AI tools, or PM software is a plus.
  • Actively identify and implement ways to streamline operations using digital tools (e.g., automation, scheduling platforms, ChatGPT, co-pilot).

Your profile

  • At least 5 years of experience as a C-level Executive Assistant, ideally combined with exposure to project coordination.
  • Demonstrated experience partnering with senior leaders, including CEO and Board-level stakeholders.
  • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment. Exceptionally organized and reliable team player—able to manage competing priorities with poise and precision in high-pressure environments.
  • Excellent communicator with strong PowerPoint and written skills; able to deliver polished, executive-level content.
  • Digitally fluent, with curiosity and openness to AI tools and modern productivity platforms.
  • High personal accountability, autonomy, and a can-do mindset—able to anticipate needs and act proactively.
  • Strategic thinker with a pragmatic, hands-on approach, able to anticipate needs, connect the dots, and drive execution.
  • Fluent in English (spoken and written); German is a strong advantage.
  • Discreet, emotionally intelligent, and trusted in handling confidential topics.
  • Team-oriented with a strong sense of ownership, reliability, and resilience.
