Formación

Location: Remote (This role is open to remote contractors located outside the U.S., working Eastern Time hours.)

We are seeking a detail-driven Virtual Assistant Bookkeeper to manage job costing, accounts payable/receivable, invoicing, reconciliations, vendor/sub payments, payroll hours, and monthly reporting. This role directly supports leadership with accurate, real-time financial insight into every project.

Responsibilities
  • Track job costs accurately in real time; code to correct job + cost category.
  • Maintain and update the company catalog based on actual job cost data.
  • Record and categorize daily financial transactions (AP/AR).
  • Reconcile bank and credit card statements regularly.
  • Prepare and send client invoices, follow up on aging receivables.
  • Manage vendor invoices and subcontractor payments.
  • Collect and prepare the weekly payroll hours summary.
  • Create Job Close-Out P&L reports with variance notes.
  • Assist with job budget setup at project start.
  • Prepare/renew county tax licenses as required.
  • Present bi-weekly expense report to leadership.
  • Prepare monthly P&L statements and support the month-end close.
Qualifications
  • Experience in bookkeeping for a construction company, GC, or trades contractor.
  • QuickBooks proficiency (Online or Desktop).
  • Strong Google Sheets/Excel skills (filters, pivots, VLOOKUP preferred).
  • Able to maintain structured workflows and documentation.
  • Excellent written and verbal communication.
  • Highly reliable, organized, and self-directed.
  • Familiarity with JobTread or similar construction job-costing tools.
  • Understanding of labor, material, and subcontractor cost categories.
  • Experience managing AR follow-ups and payment cycles.
Pay & Schedule
  • Full-time, independent contractor.
  • Schedule: Monday-Friday, U.S. Eastern Time.
  • Pay: $6 to $7/hour USD, depending on experience.
  • Performance-Based Increases available after ramp-up.
How To Succeed In This Role
  • Keep job cost postings current within 48 hours.
  • Complete the month-end close within 10 business days.
  • Maintain clean, consistent cost codes and transaction notes.
  • Communicate early and clearly when issues arise.
