About the Role

The Operations Assistant supports daily operations by managing administrative tasks, coordinating processes, handling data, and maintaining accurate records. This role ensures smooth workflows across departments and assists management in improving efficiency. The ideal candidate is organized, detail-oriented, and proactive, with strong communication and multitasking skills.

Key Responsibilities
Administrative Support
  • Creating and updating SOP’s
    Assist in managing office operations and general administrative tasks.
  • Handle correspondence, phone calls, scheduling, and document management.
    Maintain accurate records, databases, and filing systems.
  • Assisting with Loom videos so client facing as well.
Process Coordination
  • Support the Operations Manager in implementing operational procedures.
  • Help monitor and streamline daily workflows to improve efficiency.
    Track project timelines, deliverables, and milestones.
Data Management and Reporting
  • Collect, organize, and analyze operational data for reporting purposes.
    Prepare reports, presentations, and summaries for management.
  • Maintain data accuracy across operational systems or software.
Logistics and Inventory
  • Assist with inventory control, procurement, and supply chain coordination.
  • Manage vendor relationships, purchase orders, and deliveries.
  • Track shipments and ensure materials are received on time.
Financial and Budget Support
  • Help with expense tracking, invoice processing, and budget reconciliation.
  • Support the preparation of financial reports or operational budgets.
Team and Communication Support
  • Coordinate meetings, take minutes, and distribute follow-up action items.
  • Serve as a point of contact between departments or external partners.
  • Support staff onboarding and training logistics.
Compliance and Quality Assurance
  • Ensure that operational practices adhere to company policies and regulations.
  • Assist in monitoring compliance and risk management processes.
Qualifications & Skills
  • Education: Bachelor’s degree in Business, Operations Management, or related field (or equivalent experience).
  • Experience: 1–3 years in operations, administration, or office support.
  • Knowledgeable with all Google workspace, Eg.Sheets, Excel (Creating formulas from scratch)
  • Strong communication and organization skills
  • Attention to detail and problem-solving ability
  • Familiar with project or operations tools (e.g., GHL GohighLevel, Trello)
  • Attributes: Reliable, proactive, adaptable, client facing position.
  • Knowledge of GHL (GohighLevel), data management, logistics, or process improvement; certifications in operations or project management are a plus. (Preferred)
  • Experience with creating SOP’s
