Formación

The company is expanding rapidly and seeking a long‑term, leadership‑minded Executive Assistant who will grow alongside the Founder and become a cornerstone of both business and family operations.

About the Role

The Executive Assistant serves as the right hand to the Founder, managing business operations, communication, and outreach while maintaining daily rhythm across the Founder's professional and personal commitments. This hybrid role blends sales enablement, executive administration, and family coordination. The ideal candidate thrives on ownership, proactivity, and optimization‑capable of driving sales activity while building systems that scale.

Key Responsibilities
  • Sales Outreach & Lead Generation (Approx. 60%)
    • Respond immediately to all new followers, likes, and comments across social platforms with personalized outreach messages.
    • Execute cold DM campaigns on Instagram, Facebook, LinkedIn, and TikTok to promote financial and coaching services.
    • Use proven conversation frameworks to qualify prospects and book high‑intent appointments directly on the Founder's calendar.
    • Oversee automation systems and AI messaging flows to ensure seamless funnel performance.
    • Track daily/weekly activity metrics and propose new growth opportunities.
  • Qualification & Appointment Setting
    • Rigorously qualify prospects and recruiting candidates to ensure only serious, financially capable, and time‑ready individuals reach the Founder.
    • Manage appointment scheduling via Calendly, ensuring proper pre‑call documentation and CRM tagging.
    • Maintain a clean and accurate pipeline in Follow Up Boss and GoHighLevel, supported by Zapier integrations.
  • Executive Administration (Approx. 25%)
    • Manage the Founder's email (Gmail), calendar (Google Calendar), and task priorities once trust is established.
    • Prepare daily and weekly briefings, summaries, and reminders for meetings and deliverables.
    • Track insurance policy submissions, follow up with carriers and clients, and ensure documentation accuracy.
    • Maintain an organized digital workspace across Google Drive, Docs, Sheets, and Notion.
    • Draft correspondence, proposals, and client materials using ChatGPT Pro, Grammarly, and Canva.
  • Family & Personal Coordination (Approx. 15%)
    • Coordinate with the Founder's wife to integrate family events, birthdays, and children's activities into the business calendar.
    • Plan and confirm family and business travel itineraries, ensuring schedules, flights, and accommodations are aligned with work commitments.
    • Communicate with nannies, babysitters, and tutors to ensure smooth scheduling and household awareness.
    • Monitor cleaning and maintenance schedules to prevent conflicts with meetings or calls.
  • Process Improvement & Leadership
    • Audit and refine CRM, DM flows, and automation systems for efficiency.
    • Build and maintain SOPs (Standard Operating Procedures) for all recurring workflows.
    • Identify operational gaps and proactively recommend AI or system‑based solutions.
    • Serve as an internal leader who drives excellence, innovation, and accountability within the team.
Required Skills & Experience
  • 3‑5 years of Executive Assistant or Operations Manager experience.
  • Proven track record in sales support, appointment setting, or lead generation.
  • Advanced written and spoken English fluency with professional communication skills.
  • Strong organization, attention to detail, and ability to manage multiple priorities simultaneously.
