BD is seeking an experienced Executive Assistant to support the Technology & Digital Leadership Team in our Santiago, Chile Shared Service Center. The role requires managing calendars, travel logistics, confidential material, and coordination with senior leaders globally.

The ideal candidate has 7+ years of executive support experience, strong Microsoft Office proficiency, and a proven ability to handle complex schedules and international travel while maintaining a professional image.

Formación

  • Minimum of a High School Diploma/GED with formal training or equivalent work experience required. College degree preferred.
  • Minimum of 7 plus years’ experience as an Assistant supporting senior executives required. Experience working for a global organization preferred.
  • A high-level of proficiency with Microsoft office applications (Outlook, Word, Excel and PowerPoint) required.
  • Experience scheduling domestic and international business travel and accommodations (including passports, visas, etc.), preparing, reconciling and maintaining expense reports.
  • Confidentiality is a requirement - this role will have access to highly confidential data (both financial, organizational and personal) and this individual must be trusted to maintain confidentiality of this information at all times.
  • Excellent calendar/meeting management required
  • Must be able to project and present a professional image of the executive office
  • Be flexible to ad hoc requests for support even if it’s not listed above for the good of the function and the business
  • Be able to handle many parallel tasks at once.

Responsabilidades

  • Provide administrative support to the Technology & Digital Leadership Team
  • Support purchase order processing and related activities for the Technology & Digital function
  • Coordinate and schedule vendor/partner review meetings
  • Provide backup support to other executive administrators
  • Exercise independent thinking and judgment in the establishment of priorities. Able to work independently. Maintain a high degree of confidentiality in dealing with all correspondence, financial reporting, presentations, and HR related materials.
  • Collaboration and partnership skills, with proven experience to work and connect with executive leadership team members and the executive admin community
  • Maintain and prioritize a calendar of meetings, events, and travel.
  • Demonstrated ability to flex and adapt to changing schedules and priorities, remaining positive and resilient in the face of change.
  • Coordinate meeting logistics, event planning, and town hall meetings for associates.
  • Ability to effectively plan ahead, proactively setting schedules to ensure leadership team readiness for upcoming major events and meetings
  • Coordinates travel plans. This includes flight arrangements, train reservations, hotel, transportation, etc. Also makes vital arrangements for international travel including visa applications and any other information needed when traveling abroad (i.e. medical information). Prepares itineraries for travel and brings together pertinent information vital for the trip.
  • Adheres to travel expense policies, including booking travel (domestic & international) and monthly reconciliation of business expenses.
  • Maintains all files and other pertinent correspondence to be retained. Exercises good judgment in the retention, routing and destruction of data.
  • Maintains personal computer skill levels with current technology used at BD.
  • Responsible for handling needs and issues that may arise within the department such as computer-related issues, corporate cards, maintains office supplies, etc.
  • Coordinates orientation schedule, office or cube location, computer/phone set-up for new hires.
  • Other ad hoc support requests as necessary including (but not limited to): requests for assembling or consolidating data, occasional note-taker in meetings.
