Aufgaben

  • Process accounts payable including invoices and payments for overseas and Swiss suppliers.
  • Process accounts receivable: issue invoices, apply payments, manage credit notes and deposits.
  • Maintain the nominal ledger and assist with year-end audit preparation.
  • Collaborate with staff in English and French; support the Finance Team with coverage as needed.
  • Adhere to school financial regulations and safeguarding policies.

JOB PURPOSETo work closely with with the other Finance team members to ensure that the school accounts are operated accurately

KEY TASKS AND RESPONSIBILITIES

Account payableProcess invoices and payment for overseas and Swiss suppliersLiaise directly with appropriate staff regarding orders and invoicesInput all the bank payment to the supplier and othersReconcile the individual accounts with the nominal accountBe responsible for the annual closing of the purchase ledgerManage emails in French and English with all suppliersCreation of new providers in the system

Account receivablesPrepare and send invoices to parents / guardiansEstablish credit notesBill students’ account for their additional chargesFollow up and book paymentsAnswer parents’queries regarding students’ accountFinalise accounts for leavers and prepare deposit refundsReview aged debt report with the Director of Finance on a monthly basisLiaise with Admissions about student records, whenever necessaryChase debtors regularly and upscale to the Director of Finance if necessary

Nominal LedgerMaintain the nominal ledger update filesDeal with other activities linked to the nominal ledgerCarry out other audit preparation as required

OTHER TASKS AND RESPONSIBILITIESAssist and be able to cover for the other members of the Finance TeamComply with the Schools financial regulationsArchive all nominal ledger files as appropriateUndertake any other tasks which may be reasonably required by the Director of Finance for up-coming projects and the smooth running of the Finance departmentUnderstand and implement all school policies and procedure, particularly those relating to the safeguarding children and young peopleUnderstand the School’s Guiding Principles and uphold the ethos of the School at all times
