THE CHALLENGE

Based at our Toronto location, the Workplace Coordinator plays a critical role in maintaining a polished, high-functioning, and welcoming workplace environment. This role supports daily operations, events, vendor management, space planning, employee experience, and compliance across the local studio and may also provide remote support to regional sites. The coordinator will act with autonomy within established frameworks, solve a wide range of operational problems, and partner with internal and external stakeholders to ensure a best-in-class experience for employees and guests.

WHAT YOU’LL TAKE ON
  • Serve as the primary point of contact for day-to-day facility upkeep, maintenance, and service requests, ensuring timely resolution and follow-up.
  • Conduct regular floor walks to ensure office and meeting spaces are functional, well-stocked, and meet safety and aesthetic standards.
  • Manage hospitality and F&B programs, including vendor relationships, restocking, and budget tracking.
  • Provide polished, high-touch support for employee onboarding and workplace tours.
  • Source, schedule, and supervise vendors and contractors for maintenance, repairs, and office reconfigurations.
  • Manage janitorial, security, catering, horticulture, and maintenance vendors to ensure delivery against SLAs.
  • Coordinate small projects such as office moves, space planning, and minor renovations.
  • Manage the facilities ticketing queue, resolving requests within department SLAs.
  • Lead logistics for in-office events in partnership with Social Teams, including AV setup, catering, and room layouts.
  • Contribute to wellness, DE&I, and sustainability initiatives through thoughtful workspace activations and programming.
  • Maintain accurate signage, safety documentation, health & safety logs, and space plans.
  • Track facilities budgets, assist with invoice processing and reporting, and support audits and compliance programs.
  • Respond to building emergencies and provide off‑hours support as needed.
WHAT YOU BRING
  • 3–5 years’ experience in facilities, workplace operations, or hospitality-related roles.
  • IOSH or other Health & Safety certification preferred.
  • Strong multitasking, time management, and problem‑solving skills.
  • Proven experience managing vendors, budgets, and workplace events.
  • Proficiency with Google Workspace and Microsoft Office; familiarity with helpdesk systems and tools such as Smartsheet, Slack, and Canva.
  • Calm under pressure, adaptable, and highly service‑oriented with exceptional attention to detail.
  • Ability to work fully onsite (Monday–Friday) with a hands‑on approach to supporting the physical studio.
  • Willingness to provide occasional off‑hours support for building needs or events.

  • Vendor management skills (fearless on the phone and at complete ease asking for deliverables, refunds, credits, etc. in a calm and professional manner); able to drive vendor relationships to a strategic end.
  • Creative‑thinking and problem‑solving skills; able to think outside the box, propose and then execute approved processes, and resolve issues as they arise within all company policies and best practices.
