Job description

This posting is for one (1) full-time position. The Edmonton Police Service requires a Diversion and Desistance (D & D) Branch Administrative Assistant with excellent organizational and interpersonal skills to provide administrative services to the Branch. Reporting to the S / Sgt i / c Integrated Offender Management & Support Section, this Administrative Assistant will perform the following duties:

Responsibilities
  • Compose and type memoranda, forms, letters, police occurrences, reports and responses to a variety of enquiries.
  • Prepare agendas, take minutes at meetings, provide correspondence, and prepare follow-up reports and other meeting-related duties.
  • Answer phone calls, update calendars and schedule for the Support S / Sgt and Inspector.
  • Provide support and manage CARM for the Diversion and Desistance Branch.
  • Enter Annual Vacation for Squads.
  • Complete Transfers / loans memos.
  • Schedule and plan events including catering when necessary.
  • Draft Employee Recognitions and Awards.
  • Code, classify and file material into confidential filing systems, including Branch and personnel files.
  • Provide back-up coverage for other administrative staff.
  • Creating and maintaining filing systems, diary date systems, tracking sheets as required, email lists and Branch member lists, create and maintain schedules and business cards.
  • Sorting and distributing incoming mail and faxes and preparing outgoing mail.
  • Ordering stationery and other supplies and maintaining supplies for all areas in the Branch.
  • Maintain all photocopiers and fax machines for the branch.
  • Entering subpoena’s and monitor incoming court emails.
  • Complete Visa statements for the Inspector.
  • Track, pay and send invoices to Finance.
  • Complete weekly PARS and TA forms for the S / Sgts and Inspector.
  • Maintain and create email distribution lists.
  • Record weekly Branch staffing and highlight statistics.
  • Coordinate and book travel for work related travel and training.
  • Track employee access, facilitate office card key and appropriate network access to staff and partners.
  • Provide support for Occupational Health and Safety requirements.
  • Perform other related duties as required and the ability to work well with others.
Job Requirements
  • Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school / college, supplemented by training in basic computer applications.
  • A minimum of two (2) years diversified word and information processing experience.
  • Proficiency with all Microsoft Office suite products, particularly Excel.
  • Data entry experience, with a high degree of accuracy.
  • Enhanced Computer-Aided Resource Management (CARM) super user training would be considered an asset.
  • The ability to work independently with minimal supervision as well as part of a team.
  • Able to exercise sound judgment and to maintain effective working relationships.
  • Extensive experience in the maintenance of databases and the preparation of performance management reports.

Hours of Work

Compressed working week with average of 40 hours per week. Monday to Friday (every other Friday off) 9.24Hrs daily.

Salary Range

21B, Salary Grade : 007, $24.441 - $30.346 (Hourly), $1,955.30 - $2,427.70 (Bi-Weekly), $51,032.81- $63,362.45 (Annually). The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.
