Job summary

Sun Life Financial is seeking an Administrative Coordinator to support the Retail Distribution leadership team. This role will help coordinate planning, events, and expense reporting, ensuring timely approvals and smooth operations within a hybrid work environment.

With at least 2 years in an office setting and a College Diploma, you will excel at Excel, Word and Outlook, partnering with senior leaders and cross-functional teams to keep initiatives on track.

Qualifications

• Minimum 2 years office/administrative experience, preferably within mutual funds.
• College Diploma or equivalent required.
• Advanced knowledge of MS Office (Excel, Word, Outlook).
• Experience working in a team environment with senior leaders.
• Strong communication and high attention to detail.

Responsibilities

• Coordinate planning activities and meetings for Retail LT and Value Streams.
• Arrange events, venue research, invitations, RSVP lists and materials.
• Prepare expense reports and mileage logs; obtain timely approvals.
• Process payments to outside contracts/services via accounting.
• Support cross-department collaboration with Product, Marketing and Finance.

About the role

The Individual Insurance and Investments business unit represents close to 30% of all Sun Life Financial global revenue and more than 50% of Canadian earnings. We're a top provider of life, health and wealth products in the Canadian marketplace. This position works within wealth distribution under the brand of Sun Life Global Investments (SLGI). Sun Life Global Investments brings together the strength of Sun Life Financial with the best in asset management from around the world to offer a line-up of unique world class investment solutions. Reporting to the Director, Retail Business Initiatives this role is responsible for providing business and administrative support to the Retail Distribution leadership team (LT) by ensuring the smooth operation and execution of various sales initiatives and activities.

What will you do?

• Support the Director, Retail Business Initiatives through the coordination of planning activities as related to the Retail management operating system. This will require engagement across all areas of SLGI and will be focused, but not limited to, the following: Schedule meetings for the Retail LT and Retail Value Streams to ensure the proper functioning of those forums
• Co-ordinate all events for the Retail LT and Value Streams including researching the venue, booking arrangements (food and seating), sending invitations, RSVP lists and presentation materials & kits
• Support multiple leaders within the retail distribution team with the calculation & creation of expense reports and mileage logs and ensure expense report approval in a timely manner
• Ensure prompt payment through accounting on outside contracts/services
• Take an active team approach, proactively offering solutions and giving feedback for continuous process improvement
• Execute promotional and co-operative marketing requests as needed
• Ensure a strong working relationship between other departments (i.e. Product Managers, Marketing, Finance, IT)
• Participate and attend sales conference calls and meetings
• Keep Retail LT informed of their up-coming events, presentations, webinars and road shows

What do you need to succeed?

• Minimum 2 years office/administrative experience, preferably within the mutual fund industry
• College Diploma or equivalent
• Advanced knowledge of MS Office (i.e. Excel, Word & Outlook)
• Experience working in a team environment
• Strong communication skills. Experience partnering with senior leaders
• Strong organization skills with a high attention to detail

Preferred Skills

• Knowledge of Mutual Fund industry - definite asset
• Previous experience working with Sales teams - definite asset
• Intermediate Excel skills (Pivot tables, V/X-look ups)
• Experience with expense reporting and expense management tools (ex. Concur)

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
