Greentown House is seeking an organized and professional Virtual Assistant to provide remote administrative support to our team. As a Virtual Assistant you will play a crucial role in handling all communications with the company ensuring smooth day-to-day operations and supporting the companys mission. You will manage corporate schedules coordinate travel plans issue invoices and assist with various other administrative tasks.

The ideal candidate will have strong organizational skills an eye for detail and the ability to manage multiple tasks simultaneously. You should be comfortable working independently and have a proactive approach to problem-solving. A reliable internet connection and excellent verbal and written communication skills are essential to ensure seamless interactions with both our team and clients.

Virtual Assistant Responsibilities
  • Answer phone calls and respond to emails in a timely and professional manner addressing client inquiries and forwarding important messages to the appropriate team members.
  • Schedule meetings and appointments with clients internal teams and external stakeholders ensuring calendars are efficiently managed and no conflicts arise.
  • Manage travel plans for employees including booking flights accommodations and ground transportation while ensuring cost-effectiveness and adherence to company policies.
  • Issue invoices to clients tracking payments and ensuring that all billing is completed accurately and on time.
  • Update and maintain the company website and social media accounts ensuring content is up-to-date engaging and aligned with our sustainability mission and company values.
  • Provide general administrative support as needed including document preparation data entry and maintaining office systems and files.
Virtual Assistant Requirements
  • Educational Qualifications: A high school diploma or equivalent is required. Additional administrative certifications or courses will be considered an asset.
  • Prior Experience: At least 1-2 years of experience as an administrative assistant or in a similar role preferably in a remote or virtual capacity.
  • Communication Skills: Strong verbal and written communication skills are essential. You should be able to professionally correspond with clients employees and external partners.
  • Technical Skills: Fully computer literate with proficiency in Microsoft Office (Word Excel PowerPoint) and other office software. Familiarity with website management tools and social media platforms (LinkedIn Facebook Twitter etc.) is a plus.
  • Organizational Skills: A high level of organization is required with the ability to multitask effectively prioritize tasks and manage competing deadlines.
  • Self-Motivation: As a remote worker the ability to stay focused and work independently is key. You should be proactive in identifying tasks and completing them with minimal supervision.
