Job Description Summary
The Events Coordinator oversees the UBC Intramurals event program, delivering approximately 20 programs to students, staff, faculty and the surrounding UBC community. The position is responsible for all aspects of event management including, but not limited to, development of programming, implementation and evaluation, staff management including recruitment, hiring, personal/professional development, recognition, and academic support. The incumbent will also serve as the lead on the major events of Day of the LongBoat, Lace Up for Kids, Storm the Wall and up to 15 additional events, tournaments or races. Responsibilities also include event scheduling, communications, registration process & marketing coordination, site and equipment management, risk/emergency management, route planning, permit acquisition and evaluation.
This position will require regular evening and weekend work as well as, at times, extended hours. It will involve constant interaction with university students and staff in a dynamic, often loud, and physically taxing environment. The Events Coordinator must provide a high degree of interaction, mentorship, teaching, constructive criticism, evaluation, and personal wellbeing support. The position directly manages a student staff events team totaling 26 members.
Responsibilities
- Plan and manage all aspects of the UBC Intramural Events Calendar, including program development, staff management, participant communication & recognition, registration, event delivery, safety & risk management, and evaluation.
- Oversee event promotion with the Marketing Coordinator, delivering materials, outreach to community partners, and communications.
- Ensure details, purchasing of equipment, securing of venues, and coordination with on and off campus partners/vendors in a timely manner.
- Manage participant experience: registration, updates, pre-race procedures, event day procedures, and recognition.
- Coordinate research, recruitment, and hiring of event officials and other personnel as needed.
- Manage event partnerships and ensure events are safe and authorized by appropriate governing bodies.
- Prepare program evaluation tools, carry out evaluations, summarize findings, and implement changes.
- Maintain safety and reduced-risk experience for program participants.
- Interview, hire, train, manage, and evaluate the Intramural Event Director team and assign roles.
- Recruit, hire, and manage Events Assistant Directors.
- Coordinate strategic recruitment of Intramural staff with marketing support, including volunteers, officials, and day-of external volunteers.
- Conduct regular weekly meetings with events staff, including one‑on‑one meetings, event‑specific meetings, and orientation & training programs.
- Assist the Intramural Student Engagement Coordinator and Program Development team in developing, implementing, and evaluating all intramural student and staff recruitment, hiring, onboarding, professional development, and recognition strategies.
- Assist with the development and delivery of orientation and welcome programs, including IM staff hiring orientation and various retreats.
- Assist in delivering Leadership, Inclusivity, Health & Safety, Crisis & Emergency Management training programs.
- Support crisis and emergency management of facilities, programs, and staff as required.
- Assist with extended UBC Recreation programs (Staff and Faculty Sports Day, Vancouver Summer Program & Hall of Fame).
- Develop, implement, monitor, and evaluate departmental policies and procedures.
- Compile and analyze statistics and data for program activities and implement changes.
- Maintain fiscal accountability, prepare budgets, and reconcile assigned accounts monthly.
- Attend meetings, retreats, and complete other tasks and duties as required.
Consequences of Error/Judgement
Errors in training, supervision, or judgment relating to the management of UBC Intramural programs and/or the associated staff could create unsafe working & participation environments, leading to potential injury, discriminatory or inequitable actions, reputational harm, fiscal impacts, and exposure to litigation. Failure to execute responsibilities could impact employment status.
Supervision Received
The Manager, Intramural Programs provides regular ongoing guidance and direction, but execution of assigned responsibilities is solely that of the Intramurals Event Coordinator. The incumbent must exercise resourcefulness, initiative, and excellent decision making in coordinating and delivering student learning programs. The position works autonomously within general guidelines to achieve overall department and university goals.
Supervision Given
Responsible for the direct management of the Intramural Events student teams. Works alongside Intramural Engagement, League Coordinators, and UBC Recreation Marketing Coordinator to oversee all intramural student volunteers and employees.

Preferred Qualifications
- Undergraduate degree in a relevant discipline; degree in Human Kinetics or Physical Education preferred, or two‑year Diploma in Tourism and Event Management.
- Minimum 5 years of experience or equivalent combination of education and experience.
- Experience in the management and marketing of large‑scale events, or equivalent education and experience.
- Relevant experience in a post‑secondary environment in event, sport or recreation programming.
- Experience coordinating complex programs and implementing ideas collaboratively with stakeholder groups.
- Experience in a Windows‑based environment and willingness to learn new systems.
- Experience leading and managing volunteers.
- Experience with Adobe Creative Suite—Illustrator and Lightroom.
- Exceptional verbal and written communication skills, both local and intercultural.
- Demonstrated ability to organize recreational events and coordinate student development programs.
- Ability to lead others and work effectively as a team member.
- Ability to deal with a diversity of people calmly, respectfully, and effectively.
- Demonstrated experience and/or training in personal development, conflict resolution, inclusivity, mentorship, and leadership.
