Travel and Logistics Coordinator

We are seeking a Travel & Logistics Coordinator to support the smooth movement and coordination of our rotating workforce across North America. In this role, you’ll manage employee travel, flights, accommodations, and fleet while ensuring all logistics run efficiently and align with project needs. You’ll work closely with operations, HR, and management teams to coordinate travel plans, track company assets, and maintain accurate records. This position is ideal for someone who thrives in a fast‑paced environment, enjoys problem‑solving, and takes pride in keeping people and projects moving seamlessly.

What you will be Doing:
  • Book and manage commercial flights for our North American based rotating employees.
  • Maintain accurate travel schedules and ensure alignment with rotation schedules.
  • Adjust travel as needed for project changes, delays, or emergencies.
  • Oversee and manage corporate accommodations.
  • Maintain accommodation records and utilization tracking.
  • Work closely with operations, HR, and managers to coordinate employee schedules.
  • Assist Fleet and Asset Manager with the coordination of employee vehicles.
  • Track company assets such as laptops and cell phones.
  • Communicate travel details to employees clearly and in a timely manner.
  • Respond promptly to travel‑related inquiries and troubleshoot issues as they arise.
  • Maintain databases for flight schedules, employee rotations, and accommodation records.
  • Track travel costs and support reporting for budgeting purposes.
  • Ensure compliance with company travel policies and safety standards.
Your Skills and Qualifications:
  • Previous experience in logistics coordination, travel administration, or workforce scheduling (2+ years preferred).
  • A pleasant demeanor and a willingness to help where needed.
  • Exceptional time management and organizational skills, with the ability to prioritize tasks, multitask, and meet deadlines in a fast‑paced environment.
  • Strong communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders.
  • Attention to detail and accuracy in all work tasks, with a commitment to maintaining high standards of quality and excellence.
  • Proficient with Microsoft Office Suite and scheduling/travel management tools.
  • Experience in oil & gas, construction, or field‑based industries is an asset.
