Main Responsibilities
- Training & Onboarding: Train new staff on Referral Department protocols, procedures, and workflow expectations.
- Staff Support: Contribute feedback to management and provide input for staff performance evaluations.
- Workload Management: Maintain a partial Referral Consultant caseload, averaging approximately 150 referrals per month.
- Scheduling Coordination: Distribute weekly schedules to satellite offices.
- Internal Auditing: Perform weekly accuracy checks and conduct audits of items in To Be Scheduled and To Be Confirmed status.
- Client & Assessor Support: Respond to client and assessor inquiries and ensure timely follow-up and resolution.
- Cross-Department Collaboration: Work with all departments to troubleshoot and resolve issues.
- Issue Escalation & Leadership Support: Escalate concerns to Leadership and assist with additional tasks as needed.
- Performance Monitoring: Track Referral Consultant performance to ensure daily targets—such as processing and scheduling volumes—are met.
- Data & Metrics: Gather and analyze performance statistics to provide actionable feedback.
- Administrative Support: Complete additional administrative duties as assigned.
Required Qualifications
- Accredited Medical Office Assistant (MOA) Certification preferred; relevant experience and education will be considered.
- 5 years’ experience working in a Client Service or administrative position, ideally within the insurance/health care environment
- Comprehensive computer efficiency (MS Office, Outlook, Internet, Adobe Acrobat)
- Effective verbal and written communication skills
- Proven organizational and multi-tasking skills
- Knowledge of medical terminology and medical/legal or insurance experience is a strong asset
- Current or previous experience in a Supervisory Position
- Excellent leadership and team management skills
- A minimum of 65 WPM typing speed
- Ability to multi-task in a very busy environment, work under pressure of deadlines
- Approachable, Friendly, Solution Oriented
- Prior experience using Smart Simple will be considered an asset
- Success in this position requires excellent communication skills, efficiency and thoroughness, service orientation and team building and teamwork. The ability to build effective relationships while maintaining a focus on results
