Overview

Tenant Coordinator at Hudson Pacific Properties supports our premier Bentall property in Vancouver. The Tenant Coordinator serves as a key point of contact for tenants, vendors, and visitors and manages many aspects of day-to-day office operations. This role requires a customer-focused team player who can keep many important details organized in a fast-paced, dynamic environment.

What You’ll Do
  • Provide customer service and hospitality to tenants, vendors, and visitors including coordinating building access.
  • Build rapport and relationships with tenants including greeting them as they arrive and promptly responding to tenant requests.
  • Handle key aspects of office operations including administering signage program, ordering office supplies, and processing mail and tenant billings.
  • Keep information accurate for buildings, leases, contacts, and emergency procedures.
  • Prepare and distribute invoices, tenant memos, rent statements, newsletters, and tenant welcome packages.
  • Process invoices in Nexus system, including tracking, coding, and comparing them with the budget and purchase orders.
  • Track and upload Certificates of Insurance including requesting them and following up on any issues with the tenant or vendor.
  • Collaborate with building operations teams to address tenant work orders.
  • Miscellaneous projects as assigned.
What You’ll Need
  • Interest or experience in real estate.
  • 2+ years of administrative experience in a corporate environment.
  • Bachelor’s Degree preferred.
  • Strong proficiency in Microsoft Excel, Word, and PowerPoint.
  • Excellent communication and interpersonal skills.
  • Ability to multi-task with a customer-focused approach.
  • Availability to work onsite Monday-Friday 8am-5pm.
Essential Physical Functions/Environment
  • Requires frequent travel to other properties and regional offices.
  • Requires a wide range of constant physical activities, including but not limited to standing, walking, and sitting.
  • Requires close, distance, peripheral vision, and depth perception.
  • Requires work such as tours throughout the property portfolio, including to construction sites, usually performed by walking and by climbing stairs.
  • Requires movement between departments to facilitate work.
  • Requires lifting plans or boxes of 50 pounds or more occasionally.
Salary Range

$28.00 to $32.00 an hour CAD (subject to relevant experience)
