Job summary

Scotiabank is seeking a Technical Business Analyst, Strategy and Operations to support the Enterprise Data & AI Technology organization. The role requires collaboration with Senior Managers to ensure contracts progress, approvals are secured, and invoices are completed promptly.

You will oversee onboarding for new hires, coordinate across internal teams, and ensure alignment with regulatory requirements and financial controls.

Qualifications

• Bachelor’s degree in business, finance, or technology.
• 3+ years of experience across Project Management, Finance, Operations, Vendor/Contract management, and Strategy in a tech-driven organization.
• Solid knowledge of financial planning processes, including accruals, invoicing, and performance reporting.
• Strong communicator with a track record of presenting insights to senior leadership; able to tailor messaging.

Responsibilities

• Contracts and Vendor Management: manage RFPs, SOWs, MSAs, renewals, amendments and ensure documentation is current.
• Financial and Invoicing: maintain invoice tracking and discuss updates with vendors.
• Workforce Management: manage onboarding/offboarding for full-time staff and contractors; assist with equipment provisioning and hackathons.

The Role

The Technical Business Analyst, Strategy and Operations role will support the Enterprise Data & AI Technology organization, a key strategic initiative for Scotiabank. With enterprise-wide reach, the program requires strong communication, sound financial oversight, solid contract management strategic planning, and disciplined execution.

The Technical Business Analyst, Strategy and Operations, plays a vital role and partners closely with the Senior Managers to collectively ensure vendor contracts are progressed, approved, and invoices are completed in a timely manner. Additionally, managing and onboarding new hires for a smooth experience. Acting as an assistant to the Senior Manager, the Analyst coordinates numerous activities across internal teams, gathers required input and approvals from stakeholders, and ensures processes move forward efficiently. This position also ensures that all strategies, plans, and initiatives are executed in alignment with regulatory requirements, financial controls, and internal policies and procedures.

What You’ll Do:

Contracts and Vendor Management

• Ensure appropriate procedures are followed when engaging vendors, including understanding and coordinating the RFP process.
• Manage, process, and track all contractual documentation, including SOWs, MSAs, renewals, and amendments.
• Proactively follow up on contract processing issues, such as exceptions or non-standard documentation.
• Maintain current knowledge of Procurement policies, Third-Party Risk Management processes, and OSFI regulatory requirements.
• Document key decisions and action items from meetings and ensure timely follow-through.

Financial and Invoicing

• Process and maintain an up-to-date invoice tracking repository.
• Update invoice records with project tracking details and payment status.
• Engage regularly with vendors to discuss invoicing updates, discrepancies, and issue resolution.

Workforce Management

• Update and maintain staff onboarding and offboard including both full-time and contractors.
• Assist technology teams with equipment provisioning during onboarding and offboarding.
• Assist and coordinate Bank wide hackathons.

What You'll Bring:

• Bachelor’s / College degree in business, finance, or technology
• 3yrs+ of professional experience across Project Management, Finance, Operations, Vendor and Contract management, and Strategy within a technology-driven organization
• Solid knowledge of financial planning processes, including accruals, invoicing, and performance reporting
• Strong communicator with a proven track record of clearly presenting insights and recommendations to a wide range of stakeholders, including senior leadership; adept at tailoring messaging and delivery to suit different audiences
• Results-oriented self-starter with a bias toward action, capable of navigating complex, large-scale organizations and fostering strong cross-functional partnerships; experienced in stakeholder engagement within matrixed environments
• Highly curious and eager to learn, bringing an adaptable and creative mindset to problem solving
• Demonstrated ability to simplify and optimize complex processes to improve efficiency and reduce turnaround time
