Job summary

Calgary Co-op is hiring a Systems Trainer – Pharmacy to strengthen digital proficiency across our pharmacy team. You will design, develop, and deliver training on pharmacy management systems, dispensing software, and related tools to ensure safe, accurate, and efficient practice.

Reporting to the Pharmacy Operations Manager, you will partner with pharmacy leadership, IT, and HR to assess learning needs, roll out new systems, and maintain current materials.

Qualifications

  • Certificate from an accredited Pharmacy Technician or Pharmacy Assistant program.
  • Proficiency with Pharmacy Management Systems, including Kroll.

Responsibilities

  • Facilitate system training for pharmacy staff on management systems, dispensing, inventory, and compliance software.
  • Design, update, and maintain training materials including user guides and e-learning content.
  • Identify training gaps and prioritize learning needs with managers and IT.
  • Develop go-live training plans during system implementations and upgrades.
  • Track training completion and report on metrics to management and HR.
  • Coordinate training logistics and onboarding for new hires.
  • Collaborate with stakeholders to stay current on system updates and standards.
  • Monitor training effectiveness and drive continuous improvement.

The Opportunity

Reporting to the Pharmacy Operations Manager, the Systems Trainer – Pharmacy plays a critical role in building and sustaining digital proficiency across our pharmacy team. You will design, develop, and deliver comprehensive training programs on pharmacy management systems, dispensing software, and related digital tools — ensuring every team member can perform safely, accurately, and efficiently.

You will partner closely with pharmacy leadership, IT, and operational stakeholders to assess training needs, support system rollouts, and champion a culture of continuous learning and operational excellence.

What You’ll Do
Training Delivery
  • Facilitate system training for new and existing pharmacy staff on pharmacy management systems, POS/dispensing platforms, inventory tools, and compliance software
  • Deliver both classroom-based and on-the-job training to build competency across all user levels.
Curriculum Development
  • Design, update, and maintain training materials including user guides, quick-reference cards, e-learning modules, and SOPs
  • Ensure all content reflects current system configurations, regulatory requirements, and best practices.
Needs Assessment & Gap Analysis
  • Conduct ongoing assessments to identify training gaps and evaluate staff system proficiency.
  • Collaborate with pharmacy managers and IT to prioritize learning needs aligned with operational and regulatory goals.
System Implementation & Upgrade Support
  • Partner with IT and project teams during system implementations and upgrades to develop go-live training plans
  • Provide floor support to ensure pharmacy staff are fully prepared before and during technology transitions
Competency Tracking & Reporting
  • Track training completion and assess learner proficiency through evaluations and observations.
  • Maintain accurate training records and report on training metrics to pharmacy management and HR.
Stakeholder Collaboration
  • Liaise with pharmacy managers, IT, HR, and vendor representatives to stay current on system updates.
  • Coordinate training logistics and align programs with departmental and organizational objectives.
Quality Assurance & Continuous Improvement
  • Monitor system usage trends and training effectiveness; recommend process improvements.
  • Ensure all training activities align with pharmacy regulations, accreditation standards, and organizational policies.
Administrative & Scheduling
  • Coordinate training schedules, book facilities, and manage training documentation and version control.
  • Support onboarding logistics for new pharmacy hires to ensure a smooth start-up experience.
What You Bring
Required Qualifications
  • Certificate from an accredited Pharmacy Technician or Pharmacy Assistant program
  • Proficiency with Pharmacy Management Systems, including Kroll
Preferred Qualifications
  • Minimum 2 years of experience delivering training in a healthcare, pharmacy, or clinical operations environment
  • Proficiency with pharmacy platforms such as Kroll Advanced Workflow (Paperless), CRM platforms, Netcare, and virtual meeting/online booking tools
  • Experience with Central Fill pharmacy automation systems and robotics
  • Strong facilitation, communication, and adult learning skills with the ability to train individuals at varying technical skill levels
  • Experience developing and maintaining training materials, best practices, and e-learning content
  • Ability to manage multiple training projects simultaneously in a fast-paced, regulated environment
  • Solid understanding of ACP Standards of Practice, scope of practice, and relevant provincial and federal pharmacy legislation in Alberta (e.g., Health Professions Act)
