Support Service Clerk - Facility Services

Position Summary The Support Services Clerk reports to the Manager of Hospitality. As a member of the Staff Scheduling Team, the Clerk supports daily hospitality and maintenance staffing and scheduling needs for all Quinte Health sites. The Clerk is primarily responsible for shift call‑outs, creation and maintenance of the Hospitality department schedules and records. Full‑time hours available for 4 weeks during the orientation period. We’re seeking someone eager and available to join our team with an immediate start!

Required
  • 1 year of previous experience in an administrative and customer service oriented role.
  • Demonstrated success working collaboratively in a team environment and independently performing tasks.
  • Strong computer skills including all Microsoft Office applications (Outlook, Word) and advanced Excel skills.
  • Ability to quickly learn scheduling software and actively participate in training sessions.
  • Ability to work early mornings, days, afternoons and occasional weekends.
  • Demonstrated exceptional customer service skills.
  • Willingness and ability to improve processes.
  • For internal candidates, disciplinary and attendance records will be considered.
Duties
  • Work positively and effectively as a team member within the Hospitality Staff Scheduling team.
  • Maintain daily and forecasting schedules to ensure all units are appropriately staffed.
  • Complete shift call‑outs in response to schedule needs and maintain and update shift records.
  • Work collaboratively with department leaders and confer with Manager regarding staffing and scheduling requirements.
  • Create unit schedules within timelines and collective agreement language.
  • Provide interpretation, with HR assistance as required, of collective agreement language pertaining to scheduling, staffing, overtime and premium situations.
  • Enter, maintain and process payroll for all Hospitality and Maintenance staff.
  • Develop and generate reports through the collection and analysis of data from the scheduling platform.
  • Enter scheduling changes, shift changes and other edits as reported for shift swaps, overtime, vacation, etc. into the scheduling platform.
  • Assist with research/audits as requested/required both internally and externally.
  • Contribute to process and service improvements and contribute to department goals and projects.
  • Take huddle notes and keep up to date records.
  • Other duties as assigned.
