Studio 738 (the collective studio of Becoming Design Office, Fold Architects & Hansenbuilt Design) is currently seeking a Studio Manager to join our office in Victoria, BC. Employment Type:b>Full-Time: 4 days per week (equiv of 32 hours/week) Studio 738 is a collaborative design studio formed by 3 agencies; a branding and graphic design agency, an interior design firm and an architecture practice. We are dedicated to creating thoughtful, innovative, and inclusive spaces. We are seeking an organized, proactive, and resourceful Studio Manager to join our team and help ensure the smooth operation of our studio, and businesses.

Role Overview The Studio Manager will play a key role in keeping our office running smoothly, providing day-to-day administrative support to each team and overall studio oversight. This position spans all three of our businesses, assisting with daily operations, administration, social media, communications, and general office maintenance.

We’re looking for an exceptionally organized multi-tasker who genuinely loves checking things off a list. Strong written and verbal communication skills are essential. Our ideal candidate has a sharp eye for detail and can anticipate the needs of the studio as a whole, as well as the unique rhythms of each business within it.

Key Responsibilities
  • Studio and Office Management Tasks
    • Oversee general office operations, purchase and replenish supplies
    • Maintain a tidy, welcoming and professional studio environment for staff, clients, and visitors
    • Coordinate studio schedules/meetings, book internal events, product reviews, lunch and learns, space rentals
    • Assist with onboarding and orientation of new employees and desk renters
    • Manage and maintain leases for desk renters, manage keys, alarm codes etc
    • Create office manuals and operational standards as needed
    • Manage the material library in coordination with office leadership
    • Meet and Greet guest/visitors/clients, manage packages in/out, distribute mail
  • Administrative Support
    • Provide calendar management and scheduling support for project teams
    • Prepare and proofread correspondence, presentations, and documents
    • Assist with proposals
    • Research, short-list and apply for awards; plan promotional methods with leadership and initiate outreach
    • Assist with invoicing, billing and company forecasting
    • Assist with new client outreach
    • Maintain digital and physical filing systems
    • Track, issue and process invoices, expenses, and reimbursements
    • Support leadership with general administrative tasks, including timesheet reminders and project documentation as needed
  • Marketing and Communications
    • Plan and draft media posts in coordination with leadership
    • Help maintain website, social media, and studio communications/newsletters as needed
Qualifications
  • 1-3 years experience in office administration, project management or equiv,
  • Experience or interest in creative, architectural or design related services an asset
  • Excellent organizational, time management, and multitasking skills
  • You must be reliable; with 100% follow-through
  • You have strong sense of work ethic, integrity and responsibility
  • Strong written and verbal communication abilities
  • Inherently good with numbers, spreadsheets, and lists
  • You are a self starter and quick learner
  • The ability to work independently and within the constructs of a larger group
  • Proficiency in Microsoft Office and Google Workspace; Adobe Creative Suite or alternate creative media experience a plus
  • Familiarity with project management software such as: Asana, Monday, Mydoma an asset
  • You have a friendly, kind, positive attitude and a desire to learn
  • You possess a solutions-oriented mindset and are an inherent problem solver

This position is unique in that it supports three different creative disciplines (graphic design, interior design and architecture), as well as general studio operations. The role includes
  • 2 weeks paid vacation, plus Christmas Break
  • A 4 day work week (w prorated annual salary)
  • No extended benefits are attached to this position
  • This is an in house position; no remote work permitted
  • Salary Rage: $45-$60K per year, (fully time equiv salary), based on experience
