Job summary

The University of Victoria seeks a motivated SWC Reception Assistant to join the Student Wellness Centre. You will manage front-desk reception, schedule appointments, and maintain confidential student records within a collaborative team.

Hours are Monday to Friday, 8:30 am – 4:30 pm, at 1.0 FTE; it is a CUPE 951 term position. The role supports Health and Counselling Services and requires strong organizational and communication skills.

Qualifications

  • Medical Office Assistant Certificate or equivalent education, coursework, or training.
  • Experience in a counselling, mental health, or primary care medical office is preferred.
  • Proficient with Windows, MS Office, internet search, and UVic systems (Student Banner; MyPage).
  • Familiarity with student record management/scheduling software (e.g., Accuro; Titanium).
  • Awareness of UVic services and programs is an asset.

Responsibilities

  • Provide frontline reception and appointment scheduling for students.
  • Maintain clinical files and student information with confidentiality and accuracy.
  • Assist in clerical tasks and general office administration as needed.
  • Support a collaborative team environment within the SWC and Centre staff.

Job Summary

The Division of Student Affairs helps to transform students' lives by supporting and inspiring the highest standards of student learning and success, community engagement and staff development. The Division is comprised of over 30 reporting units in five departments: Athletics and Recreation, Campus Services, Office of the Registrar, Student Recruitment and Global Engagement, and Student Services.
To achieve this vision, Student Services places student learning at the centre of all efforts by supporting their academic endeavors and enhancing their personal, social, cultural and cognitive development. Student Services includes a diverse range of units including Health, Counselling, Multifaith, Residence, Centre for Accessible Learning, Office of Student Life, Academic Advising, and International Student Services. Student Health is responsible for the delivery of the University's primary health care clinic and related programs and services for over 21,000 graduate and undergraduate students. Counselling Services is committed to fostering student success, engagement, and well-being through direct clinical/counselling services, training and mentorship, consultative services, critical management, and programming and program evaluation.

The Student Wellness Centre (SWC), housing both Health and Counselling Services, strives to provide holistic care and service delivery in a fully integrated, collaborative, inter-professional model in close partnership with Multifaith Services as a third unit within the SWC portfolio. Contributing to a collaborative team climate is fundamental to the success of the SWC operations and is essential to serving students with quality care at a vibrant and engaging UVic community. The highly skilled and committed team of clinical and administrative professionals offers comprehensive clinical care that reflects the health and wellness needs that most impact the young adult population in post-secondary.

The SWC is staffed by a shared student reception area where students accessing Counselling and Health Services are assisted by the SWC Assistants through the creation of a welcoming environment for a diverse population of students. The SWC Assistant (Reception) contributes to a collaborative team environment and has primary functions in student reception and appointment scheduling, clinical file and student information management. This position also provides backup to the other SWC Assistant positions and may provide clerical support to Centre staff and general office administration for the Centre as required.

The SWC Assistant positions require staggered start/end working times within the Centre's operating hours.

Job Requirements

Skills:

  • Ability to communicate professionally and effectively (written, oral, electronic, phone), exercise active listening skills, patience, judgement, and discretion when dealing with students, faculty, staff, parents and the general public.
  • Strong ethics of student services, consistently demonstrate a warm, compassionate, and calm reception to clients and others, despite high volume and multi-tasking work under pressure.
  • Ability to work collaboratively with a diverse group of students, faculty and staff, often in the context of emotional and physical distress and/or crisis; contribute to a collaborative team climate.
  • Ability to take initiative, to organize workload efficiently, and to work independently by carrying out duties of the position with precision and accuracy.
  • Ability to engage in good interpersonal relations with team members.
  • Ability to meet standards of confidentiality.
  • Ability to maintain regular scheduled hours of work.
  • Ability to comply with university policy and procedures.

Specialized Knowledge/Education:

  • Medical Office Assistant Certificate or current registration in the program or an equivalency of education, coursework, or training or equivalency of work experience in a health, counselling or wellness discipline.
  • Prior experience or demonstrated knowledge of office administration and relevant best practices working in a counselling, mental health, or primary care medical office.
  • Demonstrated knowledge of computers and associated software (Windows PC Operating System, MS Office, internet search skills, basic typing speed 50 wpm), and information and systems within UVic (e.g., Student Banner; MyPage).
  • Demonstrated knowledge of/or ability to become proficient in specialized student record management and scheduling/database software (e.g., Accuro; Titanium).
  • Familiarity with UVic services and programs and preferably some familiarity with community referrals.

The following is considered as an asset:

  • Prior experience working with a young adult population and/or in a post-secondary environment.
  • Up-to-date First Aid Certificate/CPR Certificate.
  • Mental Health First Aid Certificate.
