Job Summary
The Specialist, Student Events is responsible for assisting in the coordination and operational delivery of a variety of programming and events on campus. This role will report to the Manager, Orientation & Events.
Roles and Responsibilities
- Coordinate select organization-wide internal events within the Horowitz Events Centre, as assigned by the Manager, Orientation & Events. This includes assisting in the management of the booking calendars for the venues, creating client orders for catering and hospitality services, producing accurate quotes and event orders, encompassing facility fees, equipment fees, staffing costs and food costs, etc.
- Assist in the planning, execution, and assessment of Students’ Union programming and special events including, but not limited to: Week of Welcome, New Student Orientation, Campus Cup, AntiFreeze, Movie Nights, SUBstage Sessions, and other events hosted by UASUevents.
- Be responsible for the creation, maintenance, and reconciliation of event ticketing for internal events.
- Be responsible for aspects of event management of various internal events, including: logistics, promotions, same-day coordination, and assessment.
- Support partnerships with student groups and campus partners, focusing on event coordination and logistics.
- Support other events staff members in their responsibilities, as needed to ensure the success of the entire UASUevents portfolio.
- Submit regular reports including monthly reports and project reports, and regularly participate in UASU and inter-organizational meetings.
- Create and update a transition manual for the position.
- Train within the Horowitz Events Centre in a variety of event roles.
- Perform other job‑related duties as required by the Manager, Orientation & Events and the Manager, Programming.
Qualifications and Educational Requirements
- A minimum two years of related post‑secondary education, or an acceptable combination of education and experience.
- Ability to work independently and as a contributing member of a team.
- Ability and willingness to work with people in a respectful, diplomatic and credible manner.
- Ability to work with students, staff, University faculty and administration with a dedication to providing excellent customer service.
- A valid Class 5 Alberta Driver’s License.
- Computer skills, including proficiency with Microsoft Office and Google Suites applications, are a requirement. Experience with Mac operating systems, and Adobe Creative Cloud (Lightroom, Illustrator, and Photoshop) will be considered an asset.

Working Conditions
- 37.5 hours per week.
- Willingness and ability to work varying hours – including weekends and evenings.
- Ability to lift 20 kilograms, and complete physical labour for at least 60 minutes to setup and tear‑down event spaces.
- Work is primarily in‑person on the University of Alberta North Campus.
- This position is union exempt.
