Job summary

The Baycrest Foundation seeks a Specialist, Philanthropy Proposals to craft high-impact proposals and donor communications for major campaigns. You will work closely with major gifts officers and program teams to translate donor interests into compelling cases for investment.

You’ll manage proposals, stewardship reports, and content development, ensuring brand alignment, accuracy and timely delivery while supporting moves management and donor stewardship across the campaign.

Qualifications

  • Post-secondary education in Communications, Marketing, PR, or related discipline.
  • Three or more years of related experience in grant writing or fundraising.
  • Proven track record in developing successful proposals for campaigns or major gifts.
  • Ability to craft donor-centric materials that communicate complex information clearly.

Job Summary

Reporting to the Senior Manager, Campaign Operations, the Specialist, Philanthropy Proposals focuses on developing high-impact written materials that support the cultivation and solicitation of major campaign donors, and ongoing tracking of campaign materials.

This is a role primarily dedicated to supporting the communication needs of the campaign, working collaboratively with major gift officers, Foundation Senior Leadership and other supporting roles, including Baycrest and Rotman Research Institute program teams.

The Specialist, Philanthropy Proposals is a hands‑on contributor and trusted thought partner to the Major Gifts team, helping shape how the campaign is communicated to donors.

Key Responsibilities
Campaign Proposals, Reporting & Content Development – 70%
  • Serves as the lead writer for proposals and cultivation materials for major campaign donors, including individuals, corporations and foundations at high giving levels.
  • Translates donor interests into compelling cases for investment
  • Translates campaign information and priorities into clear, compelling, donor‑centric pieces
  • As required, assists the Stewardship Specialist in creating compelling stewardship reports that clearly and effectively articulate the impact of the donor’s contribution
  • Develops, coordinates and provides technical advice on an array of written communications that support all stages of the donor cycle
  • Ensures that all materials align with Baycrest’s and Baycrest Foundation’s brand, tone and campaign messaging, and are error‑free, polished and up to date.
  • Collaborates with major gift/philanthropy officers to advance solicitations and shape donor strategy through written communications.
  • Gathers and develops stories and content that demonstrate the transformational impact of campaign investments, in partnership with Baycrest and Rotman Research Institute program teams.
  • Supports the development of other written campaign materials, as requested and needed.
Information Management – 25%
  • Tracks timelines and deliverables related to grant deadlines, campaign proposals, and donor communications.
  • Coordinates with Foundation fundraising portfolio managers on moves‑management processes as they relate to proposals, solicitations and stewardship reports.
  • Develops and maintains a library of campaign‑related materials, e.g. proposals, customized materials and impact reports
  • Works collaboratively with Development, Marketing & Communications and Donor Experience teams to ensure consistent messaging and sharing of relevant content across teams.
Other Tasks – 5%
  • Stays informed on trends and best practices in major gift fundraising, capital campaigns and donor communications.
  • Contributes to strengthening internal processes and systems that support campaign fundraising efforts
  • Performs cross‑functional and other duties, as assigned and/or required.
  • Performs other duties as required.
Qualifications
  • Post‑secondary education in Communications, Marketing, Public Relations, Journalism, Non‑profit Management, or another related discipline required.
  • Three (3) or more years of related experience in grant writing, campaign communications or fundraising, or a combination of comparable experience.
  • Demonstrated track record in developing successful proposals, ideally within a campaign or major gifts environment.
  • Proven ability to craft compelling, donor‑centric materials that inspire giving and communicate complex information clearly.
  • Ability to understand and synthesize technical and scientific information into clear, concise and impactful donor communications
  • Highly driven, results‑oriented work ethic, with the ability to meet commitments within a fast‑paced environment with multiple, competing demands, priorities and deadlines.
  • A critical thinker with experience in, or interest in, health care, aging, brain health or the broader not‑for‑profit sector.
  • Highly proficient with the Microsoft suite of software, i.e. Word, Excel, PowerPoint, Outlook.
  • Experience working with Raiser’s Edge or an equivalent fundraising database.
Compensation

At Baycrest, we take pride in ensuring our compensation structure is internally equitable and compliant with pay equity legislation. Our salary ranges are structured to support progression, from learning the role to demonstrating full proficiency.

The salary range for this position is $71,208 to $89,010 per year.

Your placement within the target hiring range will depend on your job‑related knowledge, skills, abilities, and relevant education and experience, as well as considerations such as market conditions and internal equity. The starting salary will be determined using these factors to ensure fairness and consistency across the organization.
