About the Job

Operating in a Northern British Columbia mining environment on a rotational shift yet to be determined, the Site Travel & Administration Coordinator is a key employee involved in the daily camp and travel functions at the Silvertip Operation.

Responsibilities
  • Manage the day-to-day travel and camp requests of all Coeur site employees, contractors and visitors;
  • Manage all travel and camp requirements for designated projects on a weekly rotational basis;
  • Analyze travel and camp needs for manpower schedule, and create detailed travel schedule;
  • Communicate all travel details to employees;
  • Serve as a general resource and point of contact for travel and camp related issues;
  • Triage camp concerns and coordinate resolution working with ESS Lodge Manager and onsite resources;
  • Act to ensure safe and efficient travel operations, in accordance with company’s policies and guidelines;
  • Receive and respond to incoming site and commercial travel and camp requests;
  • Research and set up preferred hotel rates at the company travel hubs;
  • Coordinate, arrange and book commercial air travel, car rental and hotels using Coeur Travel system and Concur based on Coeur guidelines;
  • Maintain and update corporate travel profiles in Coeur Travel and Gant;
  • Seek approval from designated approvers for commercial travel;
  • Create consistent travel and camp forms and documents to support the efficient operation of the site travel department;
  • Identify opportunities with site travel and camp process to create efficiencies;
  • Stay in communication with all traveling employees and ensuring they are aware of any changes throughout the process;
  • Coordinate accommodations for employees during any flight cancellations and re-book travel when required;
  • Build and maintain relationships with all employees and supervisors;
  • Conduct weekly reconciliations of all travel transactions and code to the proper account codes;
  • Perform administrative tasks and projects as required;
  • Strong communication and phone etiquette, dealing with people (employees and vendors;
  • Strong or MS Excel certification;
  • Other duties as assigned.
Required Qualifications & Skills
  • Min 5 years administrative and site / camp travel experience;
  • Advanced Excel skills and strong MS Office experience;
  • Excellent oral and written communication skills;
  • Excellent multi-tasking and time management skills;
  • Valid driver's license;
  • Physically fit to perform the duties of the position.
Additional Information
  • Willing to work a rotation schedule yet to be determined, with 12-hour shifts per day at a remote camp.
  • Monthly Bonus in addition to hourly rate.
  • Our current designated marshalling locations are Vancouver, Kelowna, Nanaimo, Calgary, Edmonton, Whitehorse, Teslin, and Watson Lake.
