Here’s how a Site Administrative Assistant for our Edmonton Buildings district contributes to our team:

Responsibilities
  • Developing and maintaining a well‑organized filing system that permits easy reference and rapid retrieval of information (digital or paper).
  • Understanding and developing relationships with employees, trade contractors, and clients.
  • Creating and maintaining templates for forms, letters, tracking spreadsheets, etc.
  • Coordinating meetings and/or special events, including arranging for catering, locations, and distribution of information.
  • Handling mail distribution and courier responsibilities.
  • Arranging travel, hotel, and car reservations and preparing itinerary.
  • Ordering office supplies for assigned area.
  • Assisting in ensuring project compliance with timelines, reporting, etc.
  • Willing and able to work in and adapt to change.
  • Providing accurate Word, Excel, and PowerPoint support by composing and/or editing a variety of documents.
Qualifications
  • 3 years of experience in an administrative role or equivalent technical experience.
  • Postsecondary degree, diploma or certificate in office administration program considered an asset.
  • Ability to act with discretion when handling confidential and privileged information.
  • Ability to effectively handle difficult calls and situations.
  • Ability to remain calm under pressure.
  • Ability to multitask and adapt to various work styles.
  • Ability to develop and maintain effective stakeholder relationships.
  • Ability to create, edit, proofread, and format documents/presentations.
  • Intermediate skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote.
  • Willingness to be mobile within Edmonton and surrounding area.
