Site Administrative Assistant – Edmonton Buildings District

Here’s how the role contributes to our team:

Responsibilities
  • Develop and maintain a well‑organized filing system for easy reference and rapid retrieval of information (digital or paper).
  • Build relationships with employees, contractors, and clients.
  • Create and maintain templates for forms, letters, tracking spreadsheets, etc.
  • Coordinate meetings and special events, including arranging catering, location, and distribution of information.
  • Handle mail distribution and courier responsibilities.
  • Arrange travel, hotel, and car reservations and prepare itineraries.
  • Order office supplies for the assigned area.
  • Assist in ensuring project compliance with timelines and reporting requirements.
  • Adapt to change and work flexibly.
  • Provide accurate Word, Excel, and PowerPoint support by composing, editing, and formatting documents.
Qualifications
  • 3 years of experience in an administrative role or equivalent technical experience.
  • Postsecondary degree, diploma, or certificate in office administration (an asset).
  • Ability to act with discretion when handling confidential and privileged information.>
  • Ability to handle difficult calls and situations.
  • Ability to remain calm under pressure.
  • Ability to multitask and adapt to various work styles.
  • Ability to develop and maintain effective stakeholder relationships.
  • Ability to create, edit, proofread, and format documents and presentations.
  • Intermediate skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote.
  • Willingness to be mobile within Edmonton and surrounding area.
