The Opportunity

As the Senior Property Administrator you will be responsible for the day‑to‑day administrative support of a Commercial portfolio consisting primarily of Class A office space. The portfolio will consist of two high‑end, premium buildings that have secured BOMA Best and LEED Gold certification. If you enjoy the hustle and bustle of working in downtown Toronto, and overseeing high profile beautiful buildings that this role is for you!

Position Description
Your responsibilities will include, but are not limited to :
  • Tenant Relations: always maintaining a positive relationship with commercial tenants, and addressing any inquiries in a prompt and professional manner
  • Managing financial aspects such as rent collection, invoicing, budgeting and financial reporting
  • Ensuring rent is collected in a timely manner and following up on arrears
  • Ensure tenant cheques are deposited into the correct accounts
  • Regular reconciliation of accounts
  • Complete monthly reports, variance analysis and asset reports
  • Oversee lease charge backs
  • Property maintenance coordination on an ongoing basis. Ensure maintenance staff receive their work orders and repair activities are completed in a timely manner. Ensure the property is constantly well maintained, safe and compliant with regulations
  • Overseeing vendor management by selecting and managing vendor relationships; e.g., contractors and service providers. Monitoring performance of vendors on a regular basis
  • Overseeing tenant onboarding and off-boarding. Overseeing move in and move out procedures which include lease documentation, move-out security deposits and property inspections
  • Initiating and managing sustainability initiatives
  • Develop and maintain emergency response plans
  • Undertaking extra responsibilities as needed to guarantee the properties are secure, properly maintained, operationally efficient, and deliver excellent customer service
Experience
  • 5+ years’ experience working in Property Management a MUST
  • 2+ years’ experience working as a Property Administrator a MUST
  • 2+ years’ experience working in Commercial Property Management Experience a MUST
  • Proficiency in Yardi an asset
  • Strong financial background
