  • Proficiency with MS Office; familiarity with AI in workflows.
  • Experience with financial planning software such as Conquest; insurance quoting tools.

The opportunity:

The Senior Planning Associate complements the West Oak Family Office ’s Advisors by leading the development and delivery of comprehensive wealth planning strategies for high-net-worth and ultra-high-net-worth clients. The role engages clients in meaningful discussions about their financial goals, provides advanced planning advice across areas such as estate, tax, trust, corporate, and succession planning, and helps guide informed financial decisions.

As a key planning resource, the Senior Planning Associate builds strong client relationships, delivers exceptional client experience, and provides technical guidance and support to Advisors and team members on overall business operations.

Key responsibilities include:

  • Lead the development and delivery of comprehensive financial plans for high-net-worth and ultra-high-net-worth clients.
  • Collaborate directly with clients as an integral part of the planning process, participating in client meetings and presenting planning recommendations.
  • Analyze complex financial situations and incorporate advanced planning strategies related to trusts, estates, corporate structures, tax-efficient wealth transfer, and business succession considerations.
  • Act as a planning resource across the team, facilitating discussions, answering technical questions, and helping elevate planning capabilities.
  • Translate complex planning concepts into clear, actionable recommendations for clients and internal stakeholders.
  • Stay current on industry trends, regulatory developments, and advanced wealth planning strategies to ensure best-in-class client advice.
  • Relationship Management
    • Conduct client meetings to discuss financial plans, investment strategies, and life-stage considerations.
    • Serve as a trusted resource for clients, offering guidance on evolving financial needs.
    • Partner closely with the Lead Advisor to deepen and strengthen client relationships.
    • Deliver a high-touch client experience through proactive communication and coordinated advice.
  • Support the Team on Client Administration and Operations
    • Support Advisors with client meeting preparation, planning analysis, product research, and strategic recommendations.
    • Prepare financial planning reports, insurance summaries, and client presentation materials.
    • Coordinate the implementation of planning recommendations in collaboration with advisors, clients, and external professionals.
    • Maintain accurate and compliant client records, documentation, and planning notes.
    • Provide guidance on complex client situations and support team planning initiatives.

The ideal candidate will possess:

  • A bachelor's degree in business administration, accounting, finance or related field, or equivalent work experience.
  • Minimum 7 years of progressive financial planning experience within the wealth management or financial services industry.
  • Experience engaging directly with clients and presenting complex planning recommendations.
  • Candidates with previous advisory experience who wish to focus primarily on planning are encouraged to apply.
  • Professional designations such as Trust and Estate Practitioner (TEP), Chartered Life Underwriter (CLU), or other advanced wealth planning credentials are considered strong assets.
  • Proficiency with the MS Office suite, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Familiar with AI and incorporating it into workflows.
  • Experienced user of financial planning and modelling software (Conquest preferred)
  • Familiar with insurance carrier quoting software and generating illustrations for new and in-force business
  • Demonstrate accountability, reliability, adaptability, and initiative, with the ability to work independently and thrive in a dynamic environment.
  • Strong knowledge of personal financial planning principles, including planning considerations for executives and owner-managed businesses.
  • Exceptional client service orientation, professionalism, and commitment to ethical conduct, integrity, and confidentiality.
  • Excellent interpersonal, communication, and influencing skills, with the ability to build relationships and collaborate effectively in person, by phone, and virtually.
  • Strong critical thinking, analytical, and problem-solving abilities, coupled with sound judgment and decision‑making skills.
  • Highly organized, detail‑oriented, and capable of managing multiple priorities while meeting deadlines.
