Job description

This position is responsible for performing general accounting functions, budgetary, systems and related financial activities for the UBC Okanagan Finance department. This role provides support to the Senior Manager, Budget and Financial Planning by proving data analysis, preliminary hypothesis and insights to support budgeting and decision making. This position also supports training of university financial systems for the Okanagan campus.

Organizational Status

Reporting to the Senior Manager, Budget and Financial Planning, this role works closely with the Finance Managers that serve portfolio areas across the entire campus.

Work Performed:

Supports the campus-wide budgeting and forecasting process:

Develops templates and collects data for unit / portfolio level quarterly and annual reporting.

Prepares forecast and budget information for consolidated reporting on a monthly, quarterly, and annual basis, as required.

Investigates variances, identifies root causes, and follows up with relevant Finance Manager to ensure accuracy.

Posts TAM adjusting journal entries in Workday and updates corresponding forecasts in Adaptive.

Prepares GWI and MSP funding calculations for all units and posts entries in Adaptive and Workday.

Processes one-time and recurring funding transfer entries in both Workday and Adaptive Planning as required.

Prepares and posts accrual journals, including Administrative Leave, on a quarterly basis

Reconciles transactions posted to central accounts, including Central Revenue and all Campus Wide Expense workbooks

Prepares funding transfers for Adaptive and Calumo quarterly updates, budget submissions and 5-year planning.

Assists Finance Managers with unit-level budgeting and forecasting through data analysis, data entry, and preparation of reports.

Provides data and system technical expertise:

Utilizes data warehousing, business intelligence tools and software applications to support the Senior Manager, Budget and Financial Planning with analysis, reporting and decision-making.

Collaborates with Finance team members to develop financial models for sensitivity analysis, trend and cost analysis, impact assessments, unit or program profitability evaluations, and "what-if" scenarios to inform strategic and operational decision making. Analyzes financial results for accuracy, investigates anomalies and makes necessary adjustments.

Participates in financial and unit testing of Workday business process improvements. Performs reconciliations between financial management systems during system implementations or modifications to ensure data accuracy and integrity.

Supports financial process analysis and contributes to documenting workflows and training on new systems and procedures.

Provides general accounting and internal control support to campus:

Assists Finance Managers with the preparation and posting of miscellaneous journal entries as required.

Ensures financial data integrity by monitoring cost center transactions and reconciling general ledger accounts. Identifies and corrects miscoded entries to support timely, accurate, and compliant financial reporting in collaboration with Finance Managers

Prepares the monthly Research Funding Report for distribution to campus stakeholders and responds to ad-hoc research reporting requests.

Prepares the semi-annual Indirect Cost Recovery (ICR) report for the School of Engineering by extracting relevant research revenue data and calculating ICR amounts. Posts related journal entries to allocate Faculty ICR to appropriate worktags in accordance with funding guidelines.

Provides ad-hoc financial reports and analysis as requested by the Finance team.

Receives and processes invoices from external vendors and organizations for services supported by the Finance Department and/or AVPFO. Maintains organized records of invoices and related payments.

Performs other related duties as required.

Consequence of Error/Judgement

Must exercise judgment based on a thorough knowledge of procedures, guidelines and regulations. Actions and decisions are critical in ensuring the operational health of the unit. This position has access to sensitive information, the untimely release of which could cause acute embarrassment to the University, as well as litigation. Incorrect decision/judgement will directly affect the University s reputation. Information from budget and forecast models and reports are used for making significant management decision on the allocation/reallocation of resources. Financial errors and negative operation impacts (service and costs) could result if financial position of this department is inaccurate. The analyst, given initial parameters, would be expected to obtain the necessary data and create the analysis without supervision. The supervisor will review data and analyses produced by the incumbent. Mistakes discovered at this stage could result in lost time, and perhaps the wholesale revision of the analysis.

Under the supervision of the Senior Manager, Budget and Financial Planning, this position is expected to work independently and keep supervisor informed of workload status. Analyses and reports produced by this position will be reviewed for content, structure and adherence to

university policy

Qualifications

Minimum

Undergraduate degree in a relevant discipline. Enrolled in the CPA Professional Education Program (PEP). Minimum of three years’ experience or the equivalent combination of education and experience.

Preferred

Experience with ERP implementation is an asset.

Experience with Workday is an asset.

Knowledge of UBC s institutional accounting processes (includes chart of accounts, technical accounting, reporting) and fixed assets (asset tracking, capitalization and capital projects) is highly recommended.

Demonstrated advanced knowledge and skill in the use of financial software applications, databases, spreadsheets, and word processing.

Ability to apply generally accepted accounting principles in an appropriate manner.
