Job summary

STEMCELL Technologies is seeking a Senior Facilities Services Coordinator to manage a rapidly expanding number of internal requests supporting day-to-day operations as part of the Facilities Operations team. You will serve as the first point of contact for employees and coordinate service requests across multiple sites.

Responsibilities include administering access control, tracking facility tickets in JIRA, coordinating vendor visits, and providing admin support such as meetings and document

Qualifications

• 3–5 years of experience with multi-site coordination and administration.
• Experience with ticketing systems (e.g., JIRA) is an asset.
• Experience with Lenel or Keyscan access control systems is an asset.
• Proactive, customer‑oriented mindset, with ability to follow protocols, implement solutions, and/or elevate issues as required.
• Ability to lift up to 30 lb.

Responsibilities

• Act as the primary point of contact for facility related requests, ensuring issues are resolved efficiently and stakeholders are kept informed.
• Administer and report on the access control process across departments and continuously monitor service levels of internal and external services (including daily rounds).
• Track facility service requests using the internal ticketing system (JIRA), ensuring timely follow‑up and resolution.
• Coordinate vendor access and site visits, ensuring compliance with security protocols and workplace health and safety requirements.
• Provide administrative support to the team, including scheduling meetings, minute‑taking, managing a shared inbox, and monitoring recurring facility‑related fees, permit, and license contract expiry dates.
• Gather requirements for assessment and coordinate services between internal stakeholders and external contractors or service providers as needed.
• Collaborate with internal teams to draft communications and provide internal facing updates, including quality audit reports to ensure ongoing safety and compliance.

Salary and Benefits

The annual salary for this position ranges from $71,200.00 to $96,400.00. The range is based on factors such as experience, education, job‑related skills, and equity within the team or organization.
