Job Description

Reporting to the Director of Care or Director of Health and Wellness, the Scheduling or Staffing Clerk is responsible for a variety of clerical / administrative functions, focusing on the timely creation and maintenance of staffing schedules.

Key Responsibilities
  • Prepare, post and maintain the daily nursing schedule, including making calls to staff.
  • Provide back‑up to Office Staff by answering incoming telephone calls, taking and relaying messages.
  • Greet visitors and direct them as appropriate.
  • Perform filing assignments for the Director of Care or Director of Health and Wellness.
  • Input changes to staff schedules daily and present them to the Director of Care or Director of Health and Wellness for approval.
  • Perform various clerical duties and prepare reports as required.
  • Maintain or assist in the maintenance of resident records and files.
  • Ensure resident satisfaction and promote continuous quality improvement initiatives.
  • Prepare and post Nursing Department schedules as per contracts.
  • Contact staff for available shifts.
  • Answer absentee calls, identify replacement staff, and track and record all occurrences.
  • Interact with agencies and maintain statistics of staff replacement.
  • Prepare daily assignment sheets and record daily nursing hours.
  • Maintain records of hirings, terminations, leaves of absence, term positions, etc.
  • Maintain a current and detailed list of seniority/staff preferences for assignments.
  • Prepare and post schedules with sufficient time for staff to view as per applicable contract.
  • Post vacant positions.
  • Award positions for Nursing department according to contract, in conjunction with the Director of Care or Director of Health and Wellness.
  • Interpret collective agreement for clarification purposes.
  • Maintain record of Resident Census Change/Transfer.
  • Collect and submit monthly Transportation costs for Office manager to submit for payment.
  • Prepare Health Record for new admissions.
  • Complete Admission/Separation forms for submission to appropriate party.
  • Act as PHIA Privacy Officer in conjunction with the Social Worker.
  • Promote a culture of safety in the work environment by adhering to the Workplace Safety and Health Program.
  • Work in a position of trust with vulnerable adults (residents).
  • Uphold and promote the organization's values and philosophy relating particularly to ethics, morality, and integrity as set out in Extendicare's Code of Conduct.
  • Complete other duties as assigned.
