We are seeking an organized and reliable candidate to fill the position of Receptionist for our Saskatoon office.
Job Purpose
As the initial contact point for the organization, this position is responsible for providing a professional, courteous, and efficient service to the residents utilizing the services provided by the Admin Centre for Sport, Culture and Recreation. This is a full-time position, Monday to Friday, 8:30 a.m. – 4:30 p.m.
Primary Duties and Responsibilities
Front Desk Operations
- Maintain a clean and organized front reception area to create a welcoming environment.
- Manage incoming phone calls, transferring calls to appropriate personnel and taking messages when necessary.
- Greet visitors, directing or escorting them to their destinations while notifying.
Boardroom Booking and Meetings
- Manage boardroom bookings, ensuring seamless room availability.
- Set up boardrooms and meeting rooms with necessary equipment and materials, such as projectors, screens and conference call facilities.
- In collaboration with IT, we ensure operational video conferencing equipment.
- Provide refreshments, including coffee, tea and water, during meetings and ensure the boardroom is kept tidy and presentable.
Inventory and Office Administration
- Maintain, track and manage office supplies, technology and refreshments, building security access cards ensuring adequate stock levels placing orders when necessary.
- Organize and schedule window washing, annual fire drill, yard-clean-up.
- Receive and send courier packages, sort and distribute incoming mail, including inter-office mail and faxes.
Financial Transactions
- Manage petty cash and handle bank deposits for various Divisions on a semi-monthly or as-required basis.
- Process payments for various invoices as requested.
- Book prize claim appointments for the Prize Office.
- Maintain and track Lottery Promotional items.
Provide general administrative duties
- Coordination and assistance for various company events
- Data entry, tracking and reporting (Ex. Monitoring of members’ websites and social media)
- Coordination of meetings
- Input data and maintain databases, for various divisions
- Support multi-divisional projects as needed
- Assist departments in becoming paperless
- Create Word, Excel and mail merge documents
- Other administrative duties as assigned
Knowledge, Skills and Abilities
- Demonstrated knowledge and experience in the following areas : Previous reception, facilities and switchboard experience an asset Knowledge of the provincial sport delivery system an asset Microsoft 365 – Word, Excel, PowerPoint and various databases Adobe Acrobat Pro Experience in the non-profit sector an asset
- Demonstrated skills in the following areas : Communication – verbal, written, reception and interpersonal Administration, organization, time management and attention to detail
- Demonstrated abilities in the following areas : Initiative-taking and enthusiastic Effectively manage a variety of tasks and be able to adapt to unexpected interruptions and adjustments to priorities throughout the day Work with minimal supervision and contribute to a team environment
Qualifications and Experience
- High school diploma or equivalent education and / or training
- Two years’ experience in a role that demonstrates the ability to perform the duties required for this position
Working Conditions
- Full-time – 37.5 hours per week (8:30 a.m. – 4:30 p.m., 30-minute lunch)
- Physical Environment – normal office environment, occasionally lifting items between 10 – 35 lbs
- Overtime work may be necessary during busy periods
