ABOUT THE ROLE

The Sales & Events Coordinator is responsible for supporting the sales and events teams to promote, and execute sales driven events (client events, trade shows, customer appreciation events, internal team meetings, etc.). The Sales & Events Coordinator is also responsible for a variety of administrative tasks to support these teams. This role combines administrative tasks, sales support, event logistics & coordination, and client/vendor relationship management. Occasional travel is required for this role.

EXPERIENCE/SKILLS REQUIRED
  • 2-4 years of experience in event planning, sales support, or hospitality/event coordination (or more depending on size/complexity).
  • Excellent Microsoft Office PowerPoint skills required; ability to develop creative PowerPoint presentations, with or without pre-built templates, strongly preferred.
  • Competency with Asana and Cvent platforms strongly preferred.
  • Excellent organizational skills with ability to manage multiple events/projects simultaneously under tight deadlines.
  • Exceptional communication (verbal & written), interpersonal skills and client facing comfort.
  • Competency with CRM software, Microsoft Office (Excel, Word), event management systems.
EXPERIENCE/SKILLS PREFERRED
  • Travel industry experience
  • Ability to work independently and as part of a collaborative team in a dynamic environment.
  • Willingness to work occasional evenings/weekends depending on event schedule.>
  • Strong attention to detail, budget conscious mindset, and problem solving ability.
RESPONSIBILITIES

The Sales & Events Coordinator is responsible for the following:

  • Work with Sr. Events Manager to develop and deliver event proposals to clients and internal stakeholders (venue, catering, AV, logistics).
  • Work with Sr. Events Manager to manage event logistics: venue selection, vendor sourcing and contracting, coordinate AV, catering, décor, transportation, gift sourcing, guest registration and guest services.
  • Develop event budgets and monitor actual vs. budget, tracking expenses and revenues.
  • Prepare and distribute event documentation (e.g., Banquet Event Orders, contracts, event orders, post event reports).
  • Coordinate onsite event execution: attend site visits, day of logistics, ensure smooth delivery, troubleshoot issues, take meeting minutes, etc.
  • Coordinate tradeshow, including shipping of tradeshow banners, brochures & marketing material; booth furniture/AV needs; and prize redemption follow-up.
  • Act as the primary guest point-of-contact for events like the ASTA River Cruise Expo and President’s Symposium, answering FAQs and managing guest needs.
  • Manage tour and river cruise reservations for VIP guests.
  • Support marketing integration: create promotional materials, invitations, support digital marketing as appropriate.
  • Develop, coordinate and manage event-related PowerPoint presentations for internal stakeholders.
  • Maintain CRM and event management systems: update client records, event status, budgets, follow up tasks.
  • Assist with administrative tasks including check reimbursements and invoice submission.
  • Provide occasional administrative support to the Chief Sales Officer, including monthly credit card reconciliation and management of travel logistics.
  • Collaborate cross functionally with sales, marketing, operations, facilities, vendor partners, and client teams.
  • Uphold brand standards and client service excellence throughout all event and sales processes.
EDUCATION

The preferred candidate will hold an associate’s degree or two to four years’ experience and education. Bachelor’s degree in marketing, Business, Event Management, Hospitality, or related field preferred.

ABOUT THE DEPARTMENT

Travel Agency Sales consists of Senior Directors, Business Development Managers, Account Managers and Inside Sales Account Managers. The team increases sales for over 9,000 of our travel agency partners. They share product and destination information, promotions and incentives, and sales and marketing tools to help our agencies market and sell to their clients. Our Field Sales team (Business Development Managers) visit agencies, meet with owners/managers, conduct product training, and attend many industry shows/conferences to spread the Globus news. Our Account Managers support the three key verticals (National Accounts, Key Accounts and Strategic Accounts) along Senior. Our Inside Sales Managers conduct call campaigns, e-mail campaigns and provide marketing flyers and tools to help educate the travel agent community.
