Job summary

ICONIX Waterworks is seeking a Project Coordinator with experience in sales support, estimating and bid management to help drive project goals for waterworks and construction initiatives. You will assist with take-offs, quotations, and coordinating with Account Managers to ensure accurate pricing and timely responses.

You will work closely with the outside sales team, maintain plans and schedules, read engineered drawings, and contribute to documentation and meetings to keep projects on track.

Qualifications

• Knowledge of file management, transcription, and other administrative procedures.
• Ability to work under tight deadlines.
• Competency with Microsoft applications including Word, Excel, MS Project and Outlook.
• Ability to read engineered drawings and utilize estimating tools such as Planswift.
• Strong organization, negotiation, and problem-solving skills.
• Effective and direct communication, prioritization, accuracy, and attention to detail.

Responsibilities

• Prepares and maintains essential project documentation and contributes to project tasks as needed to support timely and successful execution.
• Coordinates and attends project meetings, providing administrative and logistical support, recording key actions, and ensuring follow-ups are completed.
• Manages project take-offs, bid preparation, and quotations, ensuring accuracy and consistency in pricing and technical details.
• Facilitates quotation review with Account Managers prior to quote release.
• Maintains the quotation tracker, ensuring all data is current and accessible for internal stakeholders.
• Identifies and assesses project risks and issues, proposing and implementing solutions to maintain project momentum and mitigate disruptions.

Who We're Looking For

• A diploma or certificate in Project Coordination, Estimating, Construction Management, or a related field is considered an asset.
• Minimum 3 years of experience in sales, project management, preferably in the waterworks/construction industry
