Position Summary

We are seeking a highly motivated Sales Coordinator / Proposal Manager to join our growing team. This role is pivotal in supporting the sales team, managing proposal development, and ensuring seamless coordination of client projects. The candidate will also be responsible for active sales efforts in Canada, including client prospecting, relationship building, and closing deals. Additionally, the candidate will take ownership of process mapping to streamline workflows, enhance efficiency, and improve overall sales and proposal management practices. The ideal candidate will have excellent organizational skills, a keen eye for detail, and the ability to thrive in a fast-paced, collaborative environment.

Key Responsibilities
Active Sales in Canada
  • Proactively identify, engage, and develop relationships with potential clients across Canada
  • Conduct sales presentations, product demonstrations, and negotiations to close deals
  • Maintain a deep understanding of client needs and industry trends to tailor solutions effectively
  • Travel as necessary to meet with clients and attend industry events or trade shows
  • Meet or exceed sales targets, contributing to the company’s growth in the Canadian market
Sales Coordination
  • Assist the sales team in managing leads, tracking opportunities, and maintaining CRM systems
  • Schedule and coordinate sales meetings, presentations, and client follow-ups
  • Support the preparation of sales materials, including brochures, presentations, and case studies
  • Ensure timely communication and collaboration between sales, operations, and technical teams
Proposal Management
  • Lead the development of compelling proposals, including Request for Proposal (RFP) responses, quotes, and bid submissions
  • Collaborate with cross-functional teams to gather technical content, pricing, and project timelines
  • Create, edit, and format proposal documents to ensure they meet client requirements and company standards
  • Track proposal status, submission deadlines, and follow-ups to maximize win rates
Process Mapping and Optimization
  • Analyze current sales and proposal workflows to identify inefficiencies and bottlenecks
  • Develop and document clear, visually appealing process maps to streamline operations and improve collaboration
  • Implement best practices for proposal and sales coordination, ensuring alignment with company goals
  • Monitor and refine processes over time to support scalability and sustained efficiency
Client Relationship Support
  • Act as a liaison between clients and internal teams to address inquiries, resolve issues, and ensure customer satisfaction
  • Maintain up-to-date client records and project documentation
  • Identify opportunities for upselling or cross-selling services to existing clients
Market Insights and Reporting
  • Monitor market trends, competitor activities, and client needs to identify business development opportunities
  • Prepare reports on sales performance, proposal outcomes, and customer feedback
