Job summary

Brookfield Residential is seeking an organized administrative professional in Calgary to support sales and closing activities for both single and multi-family projects. You will prepare correspondence, maintain customer data, verify pricing, and assist the legal and finance teams with documentation and closings.

The role requires 1-3 years of customer service experience, proficiency in Word/Excel/Outlook, and strong time-management skills.

Responsibilities

  • Prepare all correspondence for purchasers, lawyers, banks, and realtors, ensuring information is accurate.
  • Review and input customer information into our current database systems.
  • Verify final home pricing worksheets for accuracy and distribute as required.
  • Provide the legal department with relevant information for statements of adjustments.
  • Review and sign off on customer accounts and final statements of adjustments.
  • Coordinate and manage mortgage-related documentation and closings with lenders and lawyers.
  • Prepare daily bank deposits for Single Family & Multi-Family funds and send referral letters/cheques as needed.
  • Coordinate and assist sales leadership with general responsibilities and back up as required.

Key Responsibilities:
  • Prepare all correspondence that is sent to purchasers, lawyers, banks, realtors, etc., and ensure all information is accurate and correct.
  • Responsible for reviewing/adding all customer information regarding sales into our current database systems.
  • Check all final home pricing worksheets for accuracy and distribute as required.
  • Provide the legal department all relevant information for the preparation of the statements of adjustments,
  • Review and sign off on all customer accounts / final statement of adjustments.
  • Ensure copy of the GST new housing rebate forms are collected, then recorded & reconciled then passed on to Brookfield Corporate.
  • Written confirmation of closing dates with purchasers.
  • Co-ordinate signatures on new home warranty documentation and distribute.
  • Prepare and submit daily bank deposits for all Single Family & Multi-Family funds.
  • Send out realtor commission letters as required.
  • Send out referral letters and cheques as required.
  • Co-ordinate and assist Lead Sales Coordinator, Sales Managers, & Sale Associates with general responsibilities.
  • Back up Lead Sales Coordinator as required.
  • Comply with Brookfield policies as set out in the Brookfield Corporate Policies and Administrative Procedures manual.
  • Co-ordinating Lot Holds, Purchasing, & communicating Lots Purchases to the construction teams based through our current lot management system.
  • Prepare & validate all financial approvals & ensure accuracy in purchasing and firming documentation for production & commissions.
  • Co-ordinate documentation & mainstream files for various departments. Ie. Design, Estimating, Interior Design, Construction, & Legal.
  • Liaise with lawyers and lenders as required in regards to processing of mortgage applications, transfers of land and closing statements.
  • Liaise with condominium corporations as required.
  • Liaise with various departments in Brookfield to mainstream align documentation ( Design, Construction, Estimating, Interior Design, & Legal).
  • Liaise with all Sales Team to co-ordinate any purchaser documentation.
  • Generate & review information provided in weekly/monthly/quarterly sales schedules and closing reports.
  • Check all documents for accuracy and report any concerns to accounting prior to releasing information to customers.
  • Tracking MLS Agreements currently within Brookfield.
  • Tracking all referrals applicable to the appropriate sales teams.
  • Tracking Firming’s monthly for commission payouts to sales.
  • Lot Inventory Keeper for each community.
  • Avid Submissions.

  • Home Building Knowledge not required but would be of asset.
  • Legal conveyance experience not required but would also be of asset.
