Job title: Administration Technician - School Organization Dossier

Location: Richmond, Quebec

Workload: 35 hours per week
Monday to Friday, 8:00am to 4:00pm

Hourly Rate: 26.38$ to 35.22$ per hour

Supervisor: School Principal

Nature of the work

The principal and customary work of an employee in this class of employment consists in performing various technical tasks related to the management of human resources, development and implementation of standards and activities related to administrative operations. As part of his or her duties, the employee may assist professionals and senior staff.

Description of tasks
Caracteristic Functions
  • Under the supervision of the School Principal, the employee adapts and applies the procedures required for the organization of administrative operations: student registration, declaration of student enrolment, exams, preparation of report cards and certification of studies.
  • Prepares the school timetables while taking into account pertinent factors, such as course options, student course selection, fields of teaching, the basic school regulation, available rooms, rules for the formation of groups, teaching periods, and other constraints.
    • Submits the timetables to the administration and makes the necessary modifications.
  • Collects the data required for student registration and course selection; he or she devises and adapts a form for that purpose; ensures that the forms are returned once they are completed, makes the approved corrections and compiles the statistics required for preparing a timetable.
  • Using the appropriate software, he or she carries out analyses, extractions and specific operations as well as prepares reports aimed at monitoring or complying with the procedure prescribed for matters, such as management of student enrolment, preparation of report cards and certification of studies, financing, accounting, budget, oversize classes, student permanent codes, student absences, substitution, school transportation, failures and various lists or reports to be forwarded, in particular, to the Ministère. He or she updates student records.
  • Provides training and offers the required support in matters pertaining to the school organization procedures and use of various software to those involved in these operations;
  • May be required to respond to information requests from fellow staff, administration, or parents.
Other Tasks Related To The Classification
  • Develops and adapts work methods and procedures and oversees their application in the context of the delivery of the current activities in certain sectors.
  • Works with others on the analysis of files and participates in developing standards and oversees their application.
  • Applies or adapts management techniques to the delivery of specific administrative activities and current operations.
  • Prepares reports intended for the organizations concerned and ensures their distribution.
  • Uses a computer and the necessary software to perform duties. Conducts internet research and may assist a staff member with software specific to his or her work.
  • Might train less experienced technicians and coordinate the work of support staff in performing duties related to the implementation of programs involving technical operations for which he or she is responsible.
  • Performs any other related duty as needed.
Desired profile

Schooling: Meet one of the following profiles:

  • Hold a diploma of college studies in Techniques de l'administration générale (Business Administration) or in another appropriate technical program.
  • Hold a diploma or an attestation of studies recognized as equivalent by the competent authority.
Experience And Other Requirements
  • Bilingual, French and English (oral and written).
  • Proficiency with the Microsoft Office suite, particularly with Excel, Word, SharePoint, and Teams as well as the Google environment.
  • Good knowledge of GPI will be considered an asset.
  • Good communication and interpersonal skills.
  • Strong organizational skills.
  • Strong capability of working under pressure, and meeting strict deadlines.
  • Experience in a similar role will be considered an asset.
