Job Title: Resident Manager

Purpose

Responsible for maintaining the physical condition of the property to SKPM standards, overseeing facilities services, repairs, and leasing, while operating within safety, customer service, and operational standards.

Main Responsibilities and Activities

Maintenance & Repairs
  • Supervise trades, suppliers, and coordinate all facilities services and repairs.
  • Update maintenance requests daily in Property Vista.
  • Issue purchase requisitions in Property Vista after approval.
  • Respond promptly to facility emergencies and submit reports as needed.
  • Investigate repair requests promptly upon receipt.
  • Ensure cleanliness through daily walkthroughs.
  • Supervise cleaning, snow removal, and landscaping; assist as needed.
  • Prioritize and conduct minor repairs (plumbing, lighting, etc.).
  • Manage waste disposal and appliance replacement as directed.
  • Order supplies and maintain inventory.
Cleaning
  • Clean lobbies, laundry, washrooms, hallways, staircases, elevators, garbage rooms, and outdoor grounds thoroughly.
  • Clean windows, doors, trims, walls, floors, and fixtures.
  • Dust and polish surfaces and fixtures.
  • Maintain outdoor and indoor grounds free of litter and debris.
Tenant Relationships
  • Build strong relationships with tenants, providing excellent customer service.
  • Respond promptly to tenant inquiries and enforce rules reasonably.
  • Notify tenants of scheduled maintenance and inspections.
  • Deliver notices and legal communications as required.
Information & Relationship Management
  • Provide information to prospective tenants and answer inquiries.
  • Schedule and conduct property viewings in cooperation with leasing staff.
  • Complete guest cards and traffic reports; report weekly to management.
  • Follow up with prospective tenants and promote retention.
Leasing & Lease Administration
  • Share rental application links and collect necessary documentation.
  • Schedule lease signing and move-in inspections.
  • Notify applicants of application status within two days.
  • Manage referral programs and record leasing data.
  • Inspect vacant units regularly for readiness.
Rent Collection
  • Collect rent arrears weekly via calls, emails, and visits.
  • Deposit rent cheques promptly outside the GTA area.
Safety
  • Inspect safety systems and mechanical rooms regularly.
  • Report and schedule repairs for hazards.
  • Monitor sidewalks and driveways during winter for hazards.
Scope & Other Duties
  • Collaborate with tenants, vendors, and contractors.
  • Participate in on-call emergency response rotations.
  • Perform other duties as assigned.
Qualifications

Education: High school diploma (Grade 12) minimum.

Experience: 3-5 years of technical/practical experience preferred; previous Resident Manager experience is a plus.
