The Opportunity

SAIT's School of Business is currently recruiting for a Receptionist and Program Assistant! Reporting to the Manager, Program Experience and Administration, this role provides essential program support and reception coverage, contributing directly to the overall student experience.

As the first point of contact for students and visitors, you will play a key role in creating a welcoming and professional environment. You will support Academic Chairs, faculty, and the Academic Advising team, and assist with coordinating student activities and initiatives throughout the year.

We’re looking for a friendly and enthusiastic professional with strong communication skills, excellent organizational skills and a keen attention to detail, that enjoy working within a collaborative environment.

Please note, this is a Temporary position until June 30, 2026.

The Role
  • Provide administrative support to Academic Chairs, faculty, and academic advisors.
  • Manage daily reception duties, including welcoming visitors and students, answering calls, and responding to emails.
  • Provide general information and direct students and visitors to appropriate resources and contacts for additional information.
  • Coordinate program meetings (Program Advisory Committee, faculty meetings), including scheduling, distributing agendas, recording minutes, booking rooms, arranging catering and setting up virtual meetings.
  • Book approved travel and accommodations for faculty, staff, and students; process expense claims and reconcile credit card statements.
  • Assist with onboarding for new faculty, staff, and students by arranging keys, access cards, business cards, office setup, and IT access.
  • Plan and support School of Business events, industry nights, and student activities.
  • Assist student clubs with logistics such as room bookings, catering, and parking.
  • Generate reports from Banner, including transcripts, timetables, and financial summaries.
  • Provide administrative support for projects and data collection related to Program Quality Assurance (PQA), student orientation, and certifications.
  • Monitor and maintain office supplies and equipment.
  • Maintain organization in the School of Business mailroom, ensuring efficient workflow and compliance with POPA guidelines.
  • Draft and process correspondence and presentation materials.
  • Contribute to the development and improvement of administrative procedures.
Qualifications & Experience
  • High School Diploma is required.
  • Office Professional Certificate or Diploma in Administrative Information Management, Business or Education is preferred.
  • Minimum 3 years of experience in administrative support and high‑level customer service.
  • Previous experience in a post‑secondary environment is an asset.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Banner ERP is an asset.
  • Demonstrated professionalism and a strong service‑oriented approach when interacting with students, guests, and industry partners.
  • Ability to maintain a positive attitude and exhibit a strong work ethic in a dynamic environment.
  • Exceptional verbal, written, and interpersonal communication skills with a focus on student success.
  • Strong problem‑solving and decision‑making skills.
  • Proven flexibility and adaptability in a changing work environment.
  • Must be able to work some rotational evening shifts and occasional events outside of normal work hours.
