Tasks
- Answer and direct telephone calls

- Manage contact lists
- Draft and distribute emails, correspondence notes, letters, faxes and forms
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and find new offers and suppliers
- Manage contact lists

- Act as point of contact for internal and external customers
- Provide information by responding to questions and requests
- Ensure the operation of the equipment by fulfilling preventive maintenance requirements; call for repairs; maintain equipment inventories; evaluate new equipment and techniques
- Maintain inventory of supplies by checking stocks to determine inventory level; anticipate necessary supplies; place and expedite orders for supplies; verification of receipt of supplies
- Perform administrative tasks such as filing, typing, copying, binding, scanning, etc.
- Cover the reception
- Maintain computer and manual filing systems
- Manage sensitive information confidentially
- Respond to inquiries by email, telephone or in person
- Develop and update administrative systems to make them more efficient
- Receive, sort and distribute mail
- Answer and forward phone calls
- Keep employee leave records up to date
- Compilation of pay schedules

- Photocopy and print documents on behalf of other colleagues
Profile
- Proven experience as an office secretary
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, such as printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, Word, Néthris payroll system, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High school diploma; additional qualification as administrative assistant or secretary will be an asset
Contractual information
SALARY : $20 / H to $25 / H DEPENDING ON EXPERIENCE
SCHEDULE : 8 : 30 AM TO 4 : 30 PM
DAY : MONDAY TO FRIDAY
