Job summary

A community health service provider in Winnipeg is looking for a clerical support staff member to assist the Public Health team. You will manage immunization records, prepare information packages, and collaborate with healthcare professionals. The ideal candidate has solid administrative experience and must hold a valid driver's license. This position requires excellent organizational and interpersonal skills, as well as the ability to work effectively in a fast-paced environment.

Qualifications

  • Two years related administrative experience required.
  • Experience in email and computerized calendars required.
  • Data entry experience with a high degree of accuracy is required.
  • Experience with Public Health Information Management System (PHIMS) preferred.
  • Administrative experience in a healthcare office is preferred.

Responsibilities

  • Provide clerical and administrative support to the Public Health team.
  • Maintain and update immunization records and statistics.
  • Prepare and distribute information packages.
  • Correspond with physicians’ offices and school staff.
  • Participate in immunization clinics as required.

Job description
Position Overview

Reporting to the Manager, the incumbent provides clerical and administrative support to the assigned community area Public Health team including maintaining and updating immunization records and statistics, entering data and typing of confidential documents, preparing and distributing high volumes of information packages, ordering or coordinating print jobs and clerical or immunization supplies, corresponding or communicating with physicians’ offices and school staff, and preparing records, forms or supplies in advance of immunization clinics. The incumbent may participate in immunization clinics and a variety of other administrative duties as required. The incumbent must contribute to a respectful work environment and participate in workload sharing and coverage with the administrative support team for the site and offices within the community area(s).

Experience
  • Two years related and progressively responsible administrative experience required.
  • Experience in email and computerized calendars required.
  • Data entry experience with a high degree of accuracy required.
  • Experience with Public Health Information Management System (PHIMS) preferred.
  • Administrative experience in a healthcare office preferred.
Education (Degree / Diploma / Certificate)
  • Complete high school education, Manitoba standards, required.
  • Formal post secondary training in applied office skills required.
  • A combination of education and experience may be considered.
Certification / Licensure / Registration
  • Valid Driver’s license.

Physical Requirements
  • Physically able to lift and carry equipment weighing up to 15 lb or 6.8 kg.
  • Physically capable of providing service in a wide variety of community settings under varying weather and environmental conditions.
  • Access to a reliable motor vehicle suitable for all environmental conditions.
  • Acceptable Adult & Child Abuse Registry check and Criminal Record check.
  • Subject to immunizations and tuberculin testing as per WRHA Policy.
