Job Details

Position Title: Program Support Officer

Status: Initiatives & Opportunities Contract (1 Year)

Hours: 37.5 hours per week

Faculty/Department: Faculty of Health & Life Sciences

Campus/Location: North Campus

Salary: FT Support Payband G: $34.60- $39.93; the wage is determined by the Full-Time Support Collective Agreement. Compensation is progressive within the designated payband and is based on years of service.

About the Program Support Officer Role

The incumbent will provide direct support to Academic Leadership – Dean and Associate Dean in the School of Nursing, Faculty of Health and Life Sciences while providing a comprehensive range of support services to the students, professors, program coordinators (PCs), external stakeholders, in their assigned cluster of programming. Responsibilities include but are not limited to: administrative, program, financial, human resources, student, marketing, and inter-departmental support. The incumbent also acts as a resource to students, professors, PCs, and administrators on the application of the College’s academic policies and procedures. It is expected that the incumbent, therefore, will continue to develop opportunities that directly impact the learning environment and work-processes. This role is an in-person role and requires travel between three sites: North Campus, Lakeshore Campus and Village of Humber Heights Campus. Travel between sites might occur on the same day.

Responsibilities

  • Process curriculum changes ensuring that the pro forma is used for the Office of Program Planning, Development and Renewal; follow ministry rules for curriculum changes; and adhere to deadlines.
  • Under the direction of the Academic Leadership within the School of Nursing, provide support to Program Advisory Committee, including roombookings, welcome letters, term completion letters, membership updates, and minutes/agenda.
  • Provide administrative support to key stakeholders with the annual program review and renewal process, including program mapping, course outlines, calendar reviews and Faculty guides.
  • Arrange accreditation and program approval logistics for all programs in the School of Nursing.
  • Prepare, disseminate and archive student and program communications.
  • Collect information such as scholarship forms, awards nomination forms, signed SWFs, and sample student work for PEQAB, CASN accreditation, CNO Program Approval, etc., ensuring accuracy and completion.
  • Provide administrative and logistical support to the Dean in the School of Nursing with program-level events such as Open House, Information Nights, Orientation, Exam scheduling, and invigilation.
  • Organize logistics around class cancellations.
  • Assist, advise and provide support for departmental programs.
  • Coordinate invigilators for exam weeks when applicable.
  • Maintain program records in appropriate databases (e.g., student records).
  • Provide support to Academic Leadership regarding all program services and evaluations.
  • Respond to inquiries from all stakeholders in the School of Nursing and FHLS.
  • Provide support and collaborate with other members of the support staff team.
  • Provide administrative support to the Dean, School of Nursing and Associate Dean.
  • Under the direction of the Dean, generate required reports for programs to support the Faculty’s strategic objectives.
  • Under the direction of the Dean, analyze service delivery and internal processes to recommend improvements and implement efficient internal processes for service delivery.

Student Services and Support

  • Respond to student enquiries and triage/redirect as appropriate (e.g., financial awards, scholarships, appeals, petitions, enrolment and scheduling issues).

Education
  • 4-year degree in Business, Communications, Entrepreneurship, Finance, Human Resources, Information Systems, Marketing or related fields of study.
Experience
  • Minimum of one (1) progressive administrative or student advising experience in a School of Nursing post-secondary environment.
  • Current experience working with Nursing and Personal Support Worker programs including PSW Learn and Earn, Practical Nursing and BScN programming.
  • Knowledge and experience working with the launch of the Humber Heights and living classroom campus.
  • Experience with compiling and analyzing research-based data from various sources, producing reports and identifying trends from data to develop solutions and strategies.
  • Experience with drafting and proofreading communications, supporting and/or advising students on courses and programs selection, supporting curriculum planning, and academic program delivery, interpreting policies and procedures, special events.
  • Proficiency with Microsoft Office (Word, Excel, Forms, Poll, Outlook, Access, Teams, and PowerPoint), and Adobe Acrobat.
  • Excellent time management and multitasking skills.
  • Proven ability to work independently on assigned tasks with minimum supervision.
  • Excellent interpersonal skills with an ability to work in a team environment.
  • Ability to use office equipment – phone, photocopier, printer, fax and troubleshoot technical minor problems.
  • Proven excellent verbal and written communications skills.
  • Experience managing and supporting committees within a School of Nursing recognizing the unique attributes of Nursing and PSW programs.
