The Opportunity

Dillon Consulting is seeking motivated candidates to fill several positions available for a Proposal Coordinator to join our Business Development and Sales (BDAS) group. The addition of a new Proposal Coordinator is part of an exciting new approach to managing our proposal sales operations in Dillon!

As part of our Proposal and Sales Team, this key role involves working closely with our Business Units and technical subject matter experts to create high-impact proposal submissions. Responsibilities include managing all aspects of proposal submission, generating proposal content using Dillon’s proposal management software, and guiding technical staff through our proposal processes. This role suits someone who thrives in a fast-paced environment, is highly organized, self-motivated, and enjoys collaboration across teams.

Responsibilities

What your day will look like:

  • Collaborate with Business Units and technical teams to develop professional proposals from start to finish.
  • Use our proposal management software daily, with full training provided.
  • Review opportunity documents for requirements and compliance.
  • Coordinate development of marketing materials, graphics, and layout in partnership with Marketing.
  • Ensure deadlines are met through effective information flow and review processes.
  • Format, edit, print, and distribute proposal documents.
  • Build internal relationships to respond promptly and maintain quality standards.
  • Implement quality control measures to meet proposal and corporate standards.
  • Monitor potential project opportunities using internal systems.
  • Participate in debriefings to improve proposal quality and processes.
Qualifications

What you will need to succeed:

  • At least two years’ experience preparing proposals and tender submissions.
  • 3-5 years of administrative experience or a relevant combination of education, skills, and experience.
  • Post-secondary education in administration, marketing, business, or communications is an asset.
Experience

What you bring to this role:

  • Advanced skills in Microsoft Word, especially large document formatting.
  • Proficiency in Microsoft Excel.
  • Strong writing, editing, and communication skills.
  • Ability to ensure content sounds cohesive and consistent.
  • Excellent attention to detail and accuracy.
  • Understanding of financial terms, budgets, and schedules.
  • Strong organizational and time management skills in a dynamic environment.
  • Experience in a professional services consulting firm is an asset.
  • Experience with proposal management software and Adobe Creative Suite is an asset.
  • APMP Certification is an asset.
