Job summary

Stantec is seeking a Project Coordinator for our Water group in Ottawa. You will report to a Project Manager on multiple projects, gaining exposure to clients, design and construction teams, and management processes.

You will receive mentorship from leadership while supporting proposal preparation and local business operations. The role involves cost forecasting, schedule development, procurement support, and document management across project phases, with interactions among clients,

Your Opportunity

We have an exciting opportunity for a Project Coordinator within the Water group at our Ottawa office. In this role you will report through a Project Manager on multiple projects. This will allow growth potential as you will be exposed to clients, design and construction team members, program and project management processes, and strong project leaders. You will have the support and mentorship of our leadership and Project Management team. You would also be expected to support our local business operation leaders and may be involved in supporting proposal preparation.

Your Key Responsibilities

• Conduct cost, schedule and document management functions on project(s). As Project Coordinator, you will be required to develop, track and update, cost forecasts; maintain and update project cost reports; develop and update project schedules; support procurement; and maintain document management systems through all phases of the project.
• Deliver day-to-day project tracking and communications with the clients, project teams, and other project stakeholders.
• Prepare and distribute project correspondence and meeting notes.
• Review, monitor and record contracts, invoices, change orders and payments to contractors, consultants, and equipment vendors.
• Support the preparation of regular Progress Reports (internal and external).
• Support the review and preparation of invoicing to send to the Project Accountant.
• Support the development of proposals and scope changes, including starting level of effort tables, drafting letters, coordinating approvals, etc

• Participate and coordinate project team activities and interact effectively with clients, Contractors, Architects, Engineers, Project Managers, and other consultants or stakeholders.
• Supports project quality control by maintaining Quality Management plans, coordinating reviews and ensuring accuracy and compliance of drawings, documents, and submissions through checks, coordination, and quality review oversight.
• Maintains the Risk Register, coordinates risk identification activities, and monitors updates throughout the project lifecycle.

Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.Actual compensation for part-time roles will be pro-rated based on the agreed number of working hours per week.
