As Project Coordinator within Oxford’s GTA Design and Construction portfolio, you will be involved with commercial office construction projects ranging from building of demising walls and common corridor renovations through full turn‑key projects for incoming tenants up to 50,000 sf. Additionally, you will be working in Oxford’s Retail Construction portfolio, consisting of retail units within Toronto’s PATH system, including coordinating new tenant build‑out and preparation of vacant suites for incoming tenancies.

The Project Coordinator role will collaborate closely with the Construction Managers, Operations and Property Management teams. You will be involved in project execution, communication & documentation, tenant coordination, drawing review and approval, start‑up requirements, financial tracking, site monitoring, progress reporting, close‑out documentation, and administration of tenant & landlord design and construction functions. This position will have the opportunity to grow into a future role in direct project management.

Responsibilities
Coordination
  • Review Landlord Obligations, Lease Agreements, and/or Capital Project Objectives
  • Preparation of Project Budgets
  • Source and hire project‑applicable consultants and communicate requirements (i.e. existing site reviews/specifics, outline the scope of work, budget, and timeline)
  • Review drawings and specifications with the Construction Manager, amend or advise as required
  • Produce, review, and award tender packages
  • Coordinate permit activity as required
  • Update Project Cost Sheets to initiate release of funds; track and review progress draws
  • Contractor orientation of Building Rules & Regulations, and Health & Safety Policies
  • Attend construction site meetings as required
  • Coordinate final project inspections, track deficiencies, report and ensure completion
  • Lead project close‑out procedures
  • Communicate progress to all customers – Tenants, Property & Operations Managers, and City Officials
  • Keep open communication with consultants and customers to ensure project completion according to schedule
  • Attend Final Inspections with Consultants as required
Administration
  • Attend general office meetings
  • Drawing reproduction and filing
  • Hazardous material tracking and updates on construction projects
  • Assist in the internal approval process
  • Assist with input and tracking of all project documentation in Project Management Software
  • Preparation of Criteria Manuals, Rules and Regulations, and Health & Safety Policies
  • Track lease documentation and Landlord obligations
  • LEED documentation tracking
  • Maintain and update project and permit tracking sheets
  • Maintain and update Tenant Design & Construction Manual
  • Maintain and update project files (hard copy and electronic)
Qualifications

  • Have a college diploma or university degree (preference in Architectural Technology, Construction Engineering or equivalent) or operational on‑site trade experience
  • Have 2+ years (preferred) of Design & Construction Coordination and/or Operations
  • PMP and LEED would be an asset
  • Construction Experience strongly desired
  • Have a strong understanding of construction project workflow and documentation
  • Can manage multiple tasks and projects concurrently while prioritizing immediate responsibilities
  • Have strong communication skills to coordinate with our partners and customers
  • Are proficient with MS Word, MS Excel, Bluebeam, Adobe Acrobat, and some knowledge of Project Management Software and AutoCAD are preferred
