POSITION TITLE Project Coordinator

REPORTS TO Project Manager

We design and manufacture suspension components for wheeled and tracked military vehicles and off-highway machines used in construction, forestry, mining and agriculture. These components include passive and semi-active dampers and hydro pneumatic struts. Horstman Canada is a CGRP-registered corporation and is a RENK group company.

POSITION SUMMARY

The Project Coordinator directly supports the Program Management Office (PMO) to manage project executions and provide day-to-day oversight of administrative and operational functions to achieve project sustainability and success in accordance with defined targets, strategies, and goals. This role is ideal for someone with an engineering or technical background who is passionate about solving problems, collaborating across departments, and growing into a management-focused career path.

You will lead your own interdepartmental projects from initiation through closure, while also helping shape the foundation of our PMO; developing processes, documentation, tools, and dashboards that will guide Horstman Canada into the future.

This is a fast paced, hands-on role for someone who is driven, detail-oriented, and highly organized, with an interest in contributing to the continued development of our project management practices. You will apply management principles from school and previous experiences while building new skills through mentorship, collaboration, and structured training at Horstman.

CGP Clearance – Since we have Controlled Goods on the property, it is imperative that all of our employees are able to clear CGP. Candidates need to be Permanent Residents or Citizens of Canada to pass the CGP clearance.

PAY RANGE -- $65,000K to $80,000K

REPORTING RELATIONSHIP

The Project Coordinator will report to the Project Manager and work in a close-knit team with Horstman staff across Horstman Canada and the wider Horstman Group and RENK companies.

Key Duties and Responsibilities

Project Leadership & Execution

  • Lead assigned cross-functional projects using structured project management practices.
  • Prepare and manage project documentation and tracking materials (e.g., project charters, schedules, status reporting, risk registers) to support smooth execution.
  • Track project progress while maintaining clear communication with all stakeholders.
  • Facilitate meetings, document decisions, and ensure alignment across departments (e.g. engineering, manufacturing, operations, and leadership teams).

PMO Development & Process Creation

  • Support creation of PMO processes, templates, and best practices.
  • Document workflows, decision frameworks, and project governance guidelines.
  • Identify opportunities for continuous improvement within project execution and cross-department collaboration.

Data, Dashboarding & KPI Tracking

  • Develop and maintain dashboards to visualize PMO and project-level KPIs.
  • Support data-driven decision-making by establishing reporting standards and connecting data sources (engineering, operations, scheduling, etc.).
  • Analyze trends and propose improvements or corrective actions.

Cross-Functional Collaboration

  • Work closely with engineers, quality personnel, supply chain, production teams, and leadership to ensure strong alignment.
  • Facilitate handoffs, encourage accountability, and help maintain momentum across multiple stakeholders.
  • Use strong human-centered communication to build trust and keep everyone informed.
Knowledge and Ability Required
  • Post-secondary degree, preferably in Engineering, or technical diploma required
  • 1-5 years of relevant industry experience
  • Understanding of engineering and manufacturing environments, including familiarity with product lifecycle concepts.
  • Awareness of project management methodologies (traditional, Agile, hybrid).
  • Ability to track and manage multiple projects simultaneously.
  • Strong analytical thinking with comfort interpreting technical information.
  • Ability to create structure from ambiguous or evolving situations.
  • High attention to detail and a drive for excellence in documentation.

Technical and Soft Skills

Technical Skills

  • Basic to intermediate project scheduling tools (MS Project, Excel, or similar).
  • Data analysis and dashboarding (Excel, Power BI, or similar tools).
  • Interest in leveraging AI and automation tools to improve project workflows, reporting, and operational efficiency.
  • Understanding of engineering drawings, terminology, and processes.
  • Strong documentation and organizational skills
  • Process mapping (Visio, Lucidchart, or equivalent).
