We’re growing and are looking for a skilled Project Coordinator to support our Executive Administrative Director (EAD) and help drive cross‑functional initiatives forward with organizational efficiency and ownership.

Project Coordinator (Supporting EAD & Cross‑Functional Teams)

Key Responsibilities
  • Coordinate and track cross‑functional projects led by the EAD ensuring milestones, deadlines and deliverables are met
  • Assist in developing project plans, schedules and documentation to support organizational initiatives
  • Prepare agendas, reports, briefing documents and follow‑up notes for project and leadership meetings
  • Support internal program rollouts, operational improvements and executive team initiatives
  • Support HR‑related projects including onboarding/offboarding tasks, process updates and compliance documentation
  • Create and maintain project dashboards, org charts, process flowcharts and other critical documentation
  • Facilitate communication between internal and external stakeholders ensuring clarity and alignment
  • Provide light administrative support when needed including scheduling and tracking action items
  • Participate in special projects or support additional executives as required

What You Bring to the Table
  • 3 years of experience in project coordination, project support or administration
  • Strong organizational, scheduling and multi‑project tracking skills
  • Experience with HR processes or supporting HR projects (an asset)
  • Tech‑savvy: proficient in MS Office, Google Workspace, DocuSign, Visio, Trello, SharePoint, HRIS systems (e.g. Collage) and YouTrack
  • Exceptional written and verbal communication skills
  • High attention to detail and excellent time management
  • Comfortable navigating shifting priorities and handling sensitive information
  • A proactive problem‑solving mindset—you don’t wait to be asked
  • Bonus: Experience in project management or PMP certification
