Job summary

Westlab in Surrey is seeking a Project Coordinator to join our tight-knit team. You will support project administration, track milestones, and help ensure deadlines, budgets, and quality standards are met.

Responsibilities include job costing, supplier coordination, and occasional site visits across Canada (up to 10% travel). A background in construction/design-build and proficiency with LabBuild, Smartsheet, AutoCAD, Revit, and MS 365 are highly valued.

Qualifications

  • 2–3 years of experience supporting projects as a Project Administrator or Project Coordinator in the construction or design-build industry.
  • Proficient with LabBuild, Smartsheet or similar, Gantt Charts, AutoCAD, Revit, and Microsoft 365 tools for planning and data management.
  • Understanding of WorkSafe and safety regulations for job sites.
  • A proactive, detail-oriented mindset and ability to thrive on dynamic, high-pressure projects.

Responsibilities

  • Project Oversight: Support Project Managers with all aspects of project administration from order processing to completion.
  • Job Cost Management: Prepare job costing sheets, monitor expenses, and assist in maintaining GP forecasts to ensure profitability.
  • Site Verification: Coordinate and conduct site visits (up to 10% travel across Canada) to confirm readiness.
  • Supplier & Vendor Coordination: Confirm materials, manage PO creation, track deliveries, and maintain supplier relationships.
  • Project Tracking: Monitor tasks and milestones and provide weekly progress reports to management.
  • Client & Internal Communication: Keep teams and clients updated and resolve issues for smooth installations.
  • Safety & Compliance: Complete site safety paperwork and coordinate training in line with regulations.
  • Cross-Functional Collaboration: Work with Spaces Sales, Procurement, Development and Finance to streamline operations.
  • Process Optimization: Identify opportunities to improve workflows and efficiency.

YOUR KEY RESPONSIBILITIES

  • Process Optimization & Improvement: Identify opportunities to enhance workflows and project efficiency.
YOUR BACKGROUND & QUALIFICATIONS
  • 2–3 years of experience supporting projects as a Project Administrator or Project Coordinator in the construction or design-build industry.
  • Proficient with LabBuild, Smartsheet or similar, Gantt Charts, AutoCAD, Revit, and Microsoft 365 tools for project planning, scheduling, collaboration, and data management.
  • Understanding of WorkSafe and safety regulations for job sites.
  • A proactive, detail-oriented mindset and ability to thrive on dynamic, high-pressure projects.
  • A humble but hungry attitude—willing to learn, collaborate, and take initiative.
  • Strong communication, interpersonal, problem-solving, and organizational skills.
NICE-TO-HAVES
  • Experience in laboratory, scientific, or logistics industries.
  • Previous project coordination experience in the building/fit-out industry.
  • Ability to read and interpret CAD drawings and shop specifications.
