MatchBox Consulting Group is seeking a Project Coordinator on behalf of our client, a well-established construction firm operating across Canada and the United States. Our client delivers commercial, industrial, and residential projects nationwide and is known for offering large-firm capabilities while maintaining a personalized, relationship-driven approach. With more than 180 employees across North America, they continue to grow and expand their project teams. They are looking for a Project Coordinator who is able to travel to project sites across Canada, with frequent travel expected in Alberta, Manitoba, and Ontario.

About The Role

The Project Coordinator supports the Project Manager and site teams by managing documentation, tracking changes, assisting with schedules and budgets, and ensuring all project information is organized and up to date. This role plays a key part in quality control, document management, and the day‑to‑day administration needed to keep projects running smoothly.

Who You Are

You’re detail‑oriented, organized, and comfortable handling multiple priorities at once. You understand construction documentation and processes, communicate clearly, and work well with both internal teams and external stakeholders. Safety is important to you, and you contribute to establishing and maintaining safe work practices on every project.

Key Responsibilities
  • Project Administration: Coordinate RFIs, shop drawings, meeting documentation, project deliverables, cost monitoring, and updates to schedules and budgets.
  • Schedule & Budget Support: Collaborate with the Project Manager and Superintendent on schedule updates, budget tracking, progress reporting, and reviewing subcontractor invoices against progress claims.
  • Safety & Compliance: Assist with project‑specific safety plans and ensure compliance with applicable Occupational Health & Safety legislation.
  • Change Management & Documentation: Track all change‑related items, prepare change notices, manage drawing revisions and site instructions, and maintain accurate as‑built records.
  • Stakeholder Coordination: Serve as a communication point between consultants, trades, and site staff, ensuring all clarifications and instructions are properly documented and circulated.
Experience & Qualifications
  • 2–5 years of progressive construction experience, or an equivalent combination of experience and education
  • Diploma, certificate, or degree in Building Technology, Project Management, or a similar field
Skills & Knowledge
  • Solid understanding of construction methods, standards, plans, specifications, codes, and regulations
  • Ability to read and interpret construction documents
  • Strong attention to detail and ability to work effectively in fast‑paced environments
  • Capable of managing multiple priorities and taking direction from various team members
  • Proficient with Microsoft 365 (Outlook, SharePoint, Word, Excel, Teams)
  • Strong interpersonal, communication, and problem‑solving skills
  • Able to work independently, prioritize tasks, and maintain confidentiality
  • Emotionally intelligent and capable of building strong working relationships
  • Comfortable supporting both operational and strategic needs in a growing organization
