Position Scope
The Project Coordinator supports the planning, execution, and completion of equipment supply and installation projects for food processing facilities. This role ensures that projects are delivered on time, within scope, and in alignment with customer requirements and company standards. The Project Coordinator acts as a key liaison between engineering, procurement, production, and the customer.
Job Responsibilities
Project Support & Coordination
- Assist the Project Manager in planning, scheduling, and tracking project milestones and deliverables.
- Coordinate internal resources (engineering, fabrication, controls, service, logistics) to ensure smooth project execution.
- Monitor project timelines, update schedules, and follow up with responsible teams to maintain progress.
- Prepare and maintain project documentation including project trackers, submittals, drawings, and reports.
- Support compliance with contract terms and company quality and safety standards.
Communication & Customer Interface
- Serve as a point of contact for customers for project updates, documentation, and logistics coordination.
- Draft and distribute meeting agendas, minutes, and action item lists following project meetings.
- Communicate schedule changes, shipment updates, and technical clarifications between internal teams and clients.
Procurement & Logistics
- Coordinate purchase orders, vendor quotes, and material deliveries according to project needs.
- Track equipment fabrication, inspection, and shipping status.
- Work with shipping in coordination and documentation for shipments (domestic and international) including freight, insurance, and customs paperwork.
Documentation & Quality
- Manage document control for drawings, manuals, inspection reports, and certificates of conformity.
- Ensure all required project documentation is collected, verified, and submitted at project closeout.
- Support warranty tracking and after-sales service coordination.
Qualifications and abilities
- Bachelor’s degree in mechanical engineering, engineering technology or similar engineering disciplines preferred
- Minimum 2 years of project-related experience
- Strong organizational and communication skills with attention to detail
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with ERP or project management software is an asset
- Ability to read technical drawings or P&IDs preferred
- Familiarity with mechanical or electrical equipment and manufacturing processes is a plus
