Job summary

Pattison ID is seeking a detail-oriented Project Coordinator to support administrative tasks for a fast-paced project management team in Ontario. You will gather, organize, and maintain project documentation, assist with site surveys, drawings, permits, and help track milestone dates and SOWs.

Ideal candidates have a post-secondary diploma and are comfortable using Microsoft Office and project tracking tools.

Qualifications

  • Post-secondary diploma or degree in Business Administration, Project Management, or a related field preferred.
  • PMP certification or working towards is considered an asset.

Responsibilities

  • Gather, organize, and maintain project documentation including milestone dates, statements of work (SOWs), site surveys, drawings, and permits.
  • Maintain and update documents submitted or pending from subcontractors, permitting agencies, or clients.
  • Assist with general administrative tasks to support the project management team.
  • Set up and maintain projects in project management systems as directed by the Project Manager.
  • Maintain up-to-date project tracking logs and dashboards.
  • Prepare purchase requests and assist with issuing purchase orders to suppliers and contractors under the direction of the Project Manager.
  • Assist Project Managers in preparing status report updates to be shared with customers.
  • Support project closeout processes by organizing and filing final documentation packages.

ESSENTIAL FUNCTIONS / KEY RESPONSIBILITIES:
Documentation & Administration
  • Gather, organize, and maintain project documentation including milestone dates, statements of work (SOWs), site surveys, drawings, and permits.

Systems & Tracking
  • Set up and maintain projects in project management systems as directed by the Project Manager.
  • Maintain up-to-date project tracking logs and dashboards.
Purchase & Procurement Support
  • Prepare purchase requests and assist with issuing purchase orders to suppliers and contractors under the direction of the Project Manager.
Reporting & Closeout Support
  • Assist Project Managers in preparing status report updates to be shared with customers.
  • Support project closeout processes by organizing and filing final documentation packages.
  • Perform other related duties as assigned.
QUALIFICATIONS REQUIRED:
EDUCATION
  • Post-secondary diploma or degree in Business Administration, Project Management, or a related field preferred.
  • PMP certification or working towards is considered an asset.
EXPERIENCE REQUIRED:
  • 0–2 years of experience in an administrative, coordination, or office support role.
  • Experience working in a fast-paced, deadline-driven environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and document management systems.
  • Experience with project management software or tracking tools is an asset.

PHYSICAL DEMANDS:

  • Regularly required to sit and work at a computer for extended periods of time.
  • Frequently required to use hands to operate a keyboard, mouse, and telephone.
  • Occasionally required to stand, walk, or move within an office environment.
  • Must be able to lift and handle items weighing up to 25 lbs on an occasional basis.
  • Specific vision abilities required include close vision for extended periods of screen use.
  • Must be able to communicate effectively verbally and in writing on a regular basis.
